Job Description

KEY RESPONSIBILITIES

Household Management

  • Manage daily personal household operations including groceries, supplies, inventory, maintenance, repairs, and general upkeep and appliances.

  • Oversee and coordinate domestic helper matters, including scheduling, well-being, medical appointments, and work pass/ visa administration.

  • Managing domestic helper's VISA and their respective home-leave.

  • Coordinate personal guest visits, appointments, and private dinner & events.

  • Liaise with contractors, vendors, electricians and service providers.

  • Assist with groceries marketing, personal ad-hoc errands, shopping, and event coordination.

  • Support the employer, home office and family members with personal and administrative tasks.

Domestic Helper Management

  • Supervise domestic helpers, drivers, if any in-house chefs and other household matters

  • Prepare helper's work schedules and assign daily duties.

  • Monitor team of helper's performance and ensure professionalism.

  • Handle helper recruitment, onboarding, training, medical check-ups, interviews with MOM and renewals including remuneration (if needed).

    Visa & Administrative/ Home Leave Support

  • Handle work permit, visa, and immigration matters for household staff and family members.

  • Coordinate travel document renewals and documentation.

  • Maintain confidential household records and documentation.

  • Work well with the home team from the home office

  • Handle individual helper's Home Leave (i.e. off day, if any).

Financial & Procurement Duties

  • Monitor household expenses and budgets.

  • Process invoices, receipts, payments, and reimbursements.

  • Source and purchase household items, groceries, and equipment as required.

Safety & Security

  • Ensure household safety procedures are followed.

  • Maintain security access records and visitor arrangements.

  • Handle emergency situations calmly and efficiently.

  • With CPR and AED certification

Property Leasing & Tenant Administrative Coordination

  • Manage tenant communications, coordinate lease agreements, and handle tenant inquiries or concerns, respond professionally.

  • Coordinate lease administration matters including tenancy renewals, property viewings,
    and handovers.

  • Arrange and follow up on property maintenance, servicing, and repair works.

  • Maintain proper records and documentation related to properties and tenancy matters.

  • Coordinate with tenants, vendors, building management and property agent for any repairs.

  • Always be available and to open the door for the property agent's viewing & any repairs needed even on weekday or public holiday (if necessary ad-hoc)

  • In charge of all matters relating to the property including handover, handover inventory list, report when lease expired or taking over the unit.

Executive & Administrative Support

  • Provide full administrative and personal support to the senior's executives.

  • Provide ad-hoc administrative and operational support as assigned

  • Draft, format, and proofread documentations, presentations and correspondence.

  • Handle confidential and sensitive information with professionalism and discretion

  • Always ensure timely responses and appropriate follow-ups.

What We're Looking For

  • Minimum 3 - 5 years of experience in household management roles.

  • Experience handling visas, work permits, and travel arrangements is required.

  • Be contactable, available with your personal whatsapp phone at all times.

  • Ability to manage multiple household coordination effectively.

  • Bilingual (English/Chinese) to liaise with stakeholders where required.

  • Strong organizational, multitasking and, follow-up skills.

  • Service-oriented with a positive, proactive, and hands-on attitude.

  • Able to handle confidential matters with high discretion and professionalism.

  • Proficient in Microsoft Office and basic administrative work, Google-meet, Zoom, any videocall conferencing facilities etc.

  • Possess a valid Singapore Class 3 driving license.

  • Able to travel whenever is required locally or overseas.

  • Daily reporting to work on site/ off site.

  • Possess a valid CPR and AED certification
