A well‑established creative and marketing organisation is seeking a highly organised and dependable Personal Assistant to provide comprehensive executive and personal support to the CEO. This role is critical to the effectiveness of senior leadership and requires a high level of discretion, professionalism, and initiative.
The ideal candidate will be resourceful, detail‑oriented, and comfortable working in a fast‑paced, senior‑stakeholder environment while managing sensitive and confidential matters.
Job Responsibilities:
Executive & Personal Support
- Provide full personal and executive assistant support to the CEO
- Manage the CEO's calendar, appointments, and meetings, ensuring efficient time management
- Act as the primary point of contact between the CEO and internal/external stakeholders
- Handle confidential communications, documents, and sensitive information with discretion
- Screen calls, emails, and correspondence, prioritizing and responding where appropriate
Meetings, Events & Coordination
- Coordinate and organise internal and external meetings, including preparation of agendas and materials
- Take meeting minutes and follow up on action items when required
- Arrange travel itineraries, accommodation, transportation, and related logistics
- Coordinate meeting rooms, events, and off‑site engagements
- Support team coordination for events, including liaising with internal teams, vendors, and external partners
- Assist with basic project management tasks such as tracking timelines, coordinating deliverables, and following up on action items related to client projects.
Administrative Support
- Prepare, format, and manage presentations, reports, correspondence, and documents
- Maintain organized filing systems (electronic and hard copy)
- Assist with expense claims, invoices, and reimbursement tracking for the CEO
- Liaise with vendors, clients, and partners on administrative matters
- Support ad‑hoc administrative and operational tasks as assigned
Requirements:
- Diploma or equivalent qualification in Business Administration or related field
- Minimum 1–2 years of secretarial or administrative experience (agency experience is an advantage)
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Prior experience supporting a CEO or C‑suite executive is highly preferred
- Strong organizational, time‑management, and multitasking skills
- Excellent written and verbal communication skills
- High level of discretion and confidentiality
- Detail‑oriented, proactive, and able to work independently
- Professional demeanor with strong interpersonal skills
