Job Description

A well‑established creative and marketing organisation is seeking a highly organised and dependable Personal Assistant to provide comprehensive executive and personal support to the CEO. This role is critical to the effectiveness of senior leadership and requires a high level of discretion, professionalism, and initiative.

The ideal candidate will be resourceful, detail‑oriented, and comfortable working in a fast‑paced, senior‑stakeholder environment while managing sensitive and confidential matters.

Job Responsibilities:

Executive & Personal Support

  • Provide full personal and executive assistant support to the CEO
  • Manage the CEO's calendar, appointments, and meetings, ensuring efficient time management
  • Act as the primary point of contact between the CEO and internal/external stakeholders
  • Handle confidential communications, documents, and sensitive information with discretion
  • Screen calls, emails, and correspondence, prioritizing and responding where appropriate

Meetings, Events & Coordination

  • Coordinate and organise internal and external meetings, including preparation of agendas and materials
  • Take meeting minutes and follow up on action items when required
  • Arrange travel itineraries, accommodation, transportation, and related logistics
  • Coordinate meeting rooms, events, and off‑site engagements
  • Support team coordination for events, including liaising with internal teams, vendors, and external partners
  • Assist with basic project management tasks such as tracking timelines, coordinating deliverables, and following up on action items related to client projects.

Administrative Support

  • Prepare, format, and manage presentations, reports, correspondence, and documents
  • Maintain organized filing systems (electronic and hard copy)
  • Assist with expense claims, invoices, and reimbursement tracking for the CEO
  • Liaise with vendors, clients, and partners on administrative matters
  • Support ad‑hoc administrative and operational tasks as assigned

Requirements:

  • Diploma or equivalent qualification in Business Administration or related field
  • Minimum 1–2 years of secretarial or administrative experience (agency experience is an advantage)
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Prior experience supporting a CEO or C‑suite executive is highly preferred
  • Strong organizational, time‑management, and multitasking skills
  • Excellent written and verbal communication skills
  • High level of discretion and confidentiality
  • Detail‑oriented, proactive, and able to work independently
  • Professional demeanor with strong interpersonal skills
  • Ability to work in a fast‑paced environment and meet deadlines
