The People & Culture Executive supports the day-to-day administration of human resources, including payroll and finance reporting, internship recruitment, work pass administration, onboarding and offboarding, employee documentation, internal communications, HRIS and employee records management, and general HR operations. The role ensures HR processes are carried out accurately, efficiently, and in compliance with company policies and employment regulations.

Responsibilities

  • Payroll Administration & Finance Reporting – Support end-to-end payroll processing through the appointed third-party payroll vendor, ensuring the timely and accurate payment of salaries and allowances. Prepare and submit monthly payroll-related financial reports and supporting documentation.

  • Recruitment & Talent Acquisition – Manage recruitment activities, including sourcing, job postings, candidate screening, interview coordination, and onboarding support.

  • Work Pass Administration – Manage and ensure compliance with all government regulations related to the employment of foreign talent, including the application, renewal, cancellation, and monitoring of work passes.

  • Onboarding & Offboarding – Coordinate and execute administrative, logistical, and compliance-related processes to ensure a seamless employee experience throughout the onboarding and offboarding lifecycle.

  • Employee Lifecycle Documentation – Prepare, maintain, and administer employment-related documentation throughout the employee lifecycle, including employment contracts, confirmation letters, promotion letters, transfer documentation, and separation-related correspondence.

  • Internal Communications & Newsletter Management – Develop, coordinate, and publish internal employee communications, including newsletters and employee engagement updates, to support organisational communication and culture-building initiatives.

  • HRIS & Employee Records Management – Maintain accurate and up-to-date employee records within the Human Resource Information System (HRIS) and ensure proper digital filing and record retention in accordance with company policies and data protection requirements.

  • HR Administration & Employee Engagement – Provide administrative support for a broad range of HR activities, including employee engagement initiatives, events, surveys, training programmes, and other people-related projects.

Qualifications & Experience

  • Diploma or Bachelor's Degree in Human Resources, Business Administration, or a related discipline.
  • At least 1-3 years of experience in HR administration or a generalist HR role.
  • Experience with payroll coordination and HR administration preferred.
  • Experience in work pass administration and knowledge of MOM regulations
  • Familiarity with HRIS platforms and digital document management systems.
  • Experience in coordinating employee engagement activities, internal communications, or events will be an added advantage.
