Job Description

Role Summary

As the People & Operations Manager, you'll own the systems and practices that keep our team running smoothly. From people ops (hiring, onboarding, engagement) to admin (e-signature workflows, access management, contract tracking), and even compliance readiness (SOC2, ISO), you'll help create a secure, responsive, and scalable operating environment.

You'll work closely with leadership and cross-functional teams to drive operational excellence while keeping culture, compliance, and performance aligned.

Key Responsibilities

People & Culture (50%)

  • Manage end-to-end HR processes including recruitment coordination, onboarding, offboarding, and internal mobility.
  • Maintain and improve employee records, contracts, HRIS, and performance management systems.
  • Organise quarterly performance reviews, pulse surveys, and learning & development opportunities.
  • Support leaders in headcount planning, compensation structuring, and job scoping.
  • Shape and sustain a positive company culture by coordinating internal rituals, recognition programmes, and team-building activities.
  • Support employer branding efforts by creating and maintaining recruitment content (e.g., job posts, career page updates, LinkedIn highlights).

Operations & Admin Management (20%)

  • Oversee all internal business operations such as document management, team asset tracking, and office logistics (if any).
  • Implement and maintain e-signature workflows for employment contracts, NDAs, and vendor documents.
  • Maintain shared folders, company templates, and SOPs for access, leave, procurement, and approvals.
  • Coordinate cross-functional administrative tasks, including scheduling of audits, demos, and partner reviews.

Compliance & Risk Management (20%)

  • Support SOC2 and ISO 27001 readiness (policy tracking, HR controls, onboarding/offboarding workflows).
  • Maintain and enforce key operational policies (e.g. data security, remote work, leave, device use).
  • Collaborate with DevOps, CTO, and legal to track and renew vendor security and confidentiality documents.
  • Maintain registers for access control, breach response, and asset assignments.

Internal Reporting & Team Enablement (10%)

  • Maintain people and ops dashboards (headcount, onboarding status, contract expiries, policy acknowledgements).
  • Prepare internal reports for leadership on hiring, team health, and compliance readiness.
  • Coordinate internal events, retros, and knowledge-sharing rituals.

Requirements

Experience

  • 4 to 7 years in HR, operations, or people-focused business functions.
  • Experience working in a tech startup, SaaS, or high-compliance environment (e.g. govtech, fintech).
  • Exposure to managing workflows for audits (e.g. SOC2, ISO 27001) is a plus.

Skills

  • Strong project and workflow management (Notion, Google Workspace, DocuSign, or similar).
  • Familiar with HR operations tools (e.g. HiBob).
  • Excellent written and verbal communication.
  • Detail-oriented, organised, and able to manage cross-team coordination

Information Security & Compliance Responsibilities

  • Policy Adherence: Follow JobTech's information security policies, procedures, and best practices consistently.
  • Risk Management: Identify, assess, and mitigate security risks to safeguard sensitive and confidential information.
  • Incident Response: Support the detection, reporting, analysis, and response to security incidents or breaches.
  • Security Awareness: Participate in regular information security training and uphold best practices across all activities.
  • Data Protection: Ensure the confidentiality, integrity, and availability of JobTech data and information assets.
  • Regulatory and Legal Compliance: Adhere to all relevant legal, regulatory, and contractual obligations related to information security.
  • Team Collaboration: Work closely with internal cross-functional teams to ensure integrated and consistent security measures.
  • Confidentiality and Data Handling: Protect sensitive information and maintain strict confidentiality in line with JobTech's data protection standards.
  • Continuous Improvement: Stay current with evolving security threats and technologies, and contribute to strengthening JobTech's overall security posture.

Bonus Traits

  • Experience working with public or enterprise sector partners.
  • Familiarity with talent policies, grants, or MOM/IRAS compliance.
  • Comfortable supporting hybrid or remote-first team operations.
