Role Overview
We are looking for a highly organised and proactive Project Coordinator to support our project and operations team.
This is not a passive admin role. You will play a key part in keeping projects on track, coordinating between teams, and ensuring nothing falls through the cracks.
This role is ideal for someone who:
- Thinks in lists, trackers, and structure
- Is comfortable following up and chasing for updates
- Takes ownership of tasks and ensures completion
What You'll Be Doing
1. Project Coordination & Tracking
- Maintain project trackers (Excel / Google Sheets) as the single source of truth
- Track timelines, deliverables, and dependencies
- Highlight delays, risks, or missing information early
2. Internal Coordination
- Coordinate between Sales, Engineering, and Operations teams
- Ensure all teams are aligned on project status and next steps
- Follow up actively to keep tasks moving (this is a key part of the role)
3. Documentation & Proposals
- Prepare PowerPoint decks for client proposals and internal use
- Maintain project documentation (PIs, delivery notes, site updates)
- Organise and structure information clearly for team use
4. Site & Logistics Coordination
- Schedule site visits and installations
- Coordinate delivery timing and material readiness
- Confirm pre-installation requirements (site readiness, cabling, access)
5. Communication & Follow-ups
- Liaise with clients and contractors for required information
- Send reminders and ensure responses are received
- Track action items from meetings and ensure closure
Requirements (What Matters Most)
- Strong organisational and coordination skills
- High attention to detail (you catch what others miss)
- Clear and professional communication
- Comfortable working with Excel / Google Sheets (filtering, tracking)
- Proactive mindset - you don't wait, you follow up
- Ability to manage multiple tasks without losing structure
Preferred background:
- Project coordination / admin / recruitment / operations roles
- Experience handling scheduling, tracking, or multi-party coordination
Nice to Have (Not Required)
- Experience in AV / construction / technical project environments
- Familiarity with tools like Billdu, CRM systems, or project trackers
- Basic PowerPoint design / Canva skills
- Familiarity with AI tools (ChatGPT, Gemini, Copilot, etc.)
- Basic AutoCAD exposure
Working Arrangement
- Part-time (2-3 days per week, flexible)
- Hybrid (remote + occasional office/site coordination)
- Designed with a clear path to full-time conversion

Remuneration
The amount shown is prorated on a monthly basis.
