Admin Assistant (Marketing Support)
Provide administrative and operational support to facilitate smooth daily operations, including executive calendar management, operations coordination, basic marketing activities, and general administrative functions.

Key Responsibilities
Administrative & Operations Support
- Create and manage WhatsApp groups for upcoming events, including adding and removing relevant crew members.
- Share operational templates and forms for event reporting and documentation.
- Consolidate and send daily operational summaries to internal stakeholders.
- Prepare and send event conclusion emails.
- Update and maintain operational records and tracking sheets.
- Assist in maintaining schedules, reminders, and key company updates.
- Monitor crew's expiry dates and renewal requirements for licences, certifications, insurance, and other regulatory matters.
- Assist in ensuring company records remain updated and audit-ready.
- Provide general administrative support as required.
Marketing Support
- Create simple social media graphics and educational content using Canva.
- Assist with basic video filming and editing using CapCut.
- Prepare and schedule social media posts (approximately one post per week, plus occasional updates).
- Support creation of marketing materials and company announcements.
Business Support
- Prepare and send outreach emails to prospective clients and partners.
- Maintain and update client and prospect databases.
- Conduct basic market research and identify potential business opportunities.
- Assist with preparation of proposals, presentations, and company information when required.
Process Improvement & AI Support
- Explore simple AI tools and automation solutions to improve administrative efficiency.
- Assist in streamlining workflows and reducing repetitive manual tasks.
- Support implementation of new digital tools and processes where appropriate.
Requirements
- Organised, detail-oriented, and able to work independently.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace.
- Familiar with Canva and basic social media platforms.
- Basic CapCut or video editing skills is an advantage.
- Interest in AI tools and process automation is an advantage.
- Strong communication and coordination skills.
- Prior administrative experience is preferred but not essential.
