Our client is a well-established Japanese multinational organization within the global shipping and logistics industry. With a strong presence across Asia and worldwide, the company continues to expand its shipping operations and regional integration, resulting in increasing contractual and regulatory complexity.
The Asia Legal team plays a key role in supporting business operations across the region by providing practical legal guidance and ensuring compliance with corporate and regulatory requirements.
Department: Regional Management Office - Asia Legal
Reporting To: Asia Legal Counsel
Responsibilities
1. Legal Operations & Administration
- Maintain and manage legal documentation, contract trackers, and document repositories.
- Support legal administration, internal reporting, and document control processes.
- Prepare materials and documentation for internal discussions and management reporting.
- Assist in coordinating engagement and onboarding of external legal counsel, including preparation of engagement letters and billing coordination.
- Monitor and support evaluation of external counsel performance where required.
2. Business & Operational Support
- Provide coordination and administrative support for legal reviews and internal legal projects.
- Facilitate communication between internal stakeholders and external counsel under the direction of Asia Legal.
- Assist business divisions in managing legal documentation and contract processes.
3. Legal Support
- Assist in handling day-to-day legal matters under the Asia Legal framework.
- Address routine legal queries from internal stakeholders and escalate complex issues to supervising counsel.
- Support legal initiatives and project-based reviews involving business divisions.
- Conduct legal research on commercial, maritime, and regulatory topics and prepare internal summaries or briefing notes.
4. Contract Review & Management
- Review, draft, and provide comments on commercial contracts such as:
a. Non-Disclosure Agreements (NDAs)
b. Service agreements
c. Commercial agreements
d. Standard legal templates
- Identify potential legal risks in contracts and suggest mitigation measures for review by legal counsel.
5. Coordination with External Counsel & HQ
- Liaise with external legal counsel (including maritime and retainer counsel) regarding instructions, documentation, and follow-ups.
- Support coordination with the Headquarters Legal Team where required.
6. General Duties
- Perform other ad-hoc legal and administrative tasks assigned by the Asia Legal team.
Requirements & Preferences
(Must)
- Diploma in Legal Studies with at least 3 years of relevant paralegal/legal experience through a reputable law firm or in-house legal executive
- Outstanding communication skills in English and Mandarin to liaise with English and Mandarin-speaking stakeholders
- Good understanding of contract law and experience in contract drafting and review.
- Capable of working independently with minimal support.
- Excellent computer skills for MS Office (Word, PowerPoint, Excel, Outlook, and Access for Windows PCs).
- Ability to work effectively in a regional corporate legal environment.
(Advantageous)
- Bachelor's Degree in Law (LLB) or equivalent.
- Exposure to maritime or shipping-related matters is an advantage, but not mandatory.
- Experience in managing the South Asian Region and Japan is preferred
