Job Description

The Order Fulfilment Officer (Recording Media - Export) is responsible for executing end-to-end order fulfilment activities for the Recording Media Export business, from order receipt through to shipment and delivery. The role ensures customer orders are accurately processed, export documentation is properly prepared, and shipments are coordinated in a timely and compliant manner. The incumbent works closely with internal stakeholders (Sales, Finance, Warehouse) and external partners (vendors, freight forwarders, customers) to support smooth order execution, while maintaining accurate records in ERP and order management systems.
Key Tasks:

1.Order Management Operations

  • Process and maintain sales orders and purchase orders accurately in ERP systems.
  • Monitor order status and ensure fulfilment milestones are met according to agreed timelines.
  • Update and maintain sales orders, purchase orders, credit notes, debit notes, and related documentation in ERP and order management platforms (e.g. SAP, Esker) in accordance with process requirements.
  • Generation of Delivery Orders, Stock Transfer Orders (STO), Invoices and other necessary processes to facilitate fulfillment milestones.
  • Handle Returns and related documentation where required.

2.Export Logistics & Shipment Coordination

  • Coordinate export shipments with warehouses, freight forwarders, and logistics partners.
  • Track shipment progress and manage delivery schedules to meet customer requirements.

3.Export Documentation Administration

  • Prepare and verify export documentation including commercial invoices and packing lists.
  • Ensure documentation accuracy to support customs clearance and audit requirements.

4.Customer & Internal Coordination

  • Provide order and shipment status updates to internal stakeholders and customers.
  • Resolve routine fulfilment issues and escalate exceptions where required.

5.Operational Records & Reporting

  • Maintain accurate records to support billing, invoicing, and accounts receivable processes.
  • Support basic operational reporting and data accuracy checks.
  • Support supply and demand planning activities by providing order, sales, and inventory data as required.
  • Monitor and update accounts receivable records and ageing information to support Finance follow-up.

Requirement:

  1. Minimum 5 years supply chain experience
  2. Diploma or Degree in Supply Chain, Logistics, Business, or related discipline.
  3. Experience in order processing, order fulfilment, export operations, or supply chain coordination.
  4. Working knowledge of SAP ERP systems and Microsoft Office applications, especially excel.
  5. Familiarity with SAP Ariba is beneficial.
  6. Working knowledge of export documentation, Incoterms, and credit/debit note processing is an advantage
  7. Meticulous, organised, and able to coordinate effectively with multiple stakeholders.
