Overview: The Operations Supervisor is responsible for overseeing daily operational activities, ensuring smooth coordination between teams, and supporting project execution from initiation to completion. This role requires strong organizational, communication, and follow-up skills to ensure efficiency and customer satisfaction.
Key Responsibilities:
1. Administrative & Communication Duties
- Answer, screen, and direct incoming calls in a professional manner.
- Manage correspondence via phone calls and email efficiently.
- Organize, schedule, and coordinate appointments with clients and internal teams.
2. Project Coordination
- Assist the Project Manager in coordinating all stages of projects from initiation to completion.
- Liaise with clients, contractors, and relevant parties to ensure smooth workflow.
- Provide timely updates to the Project Manager on project progress and issues.
3. Documentation & Reporting
- Assist in preparing, collecting, and submitting required documentation from various stakeholders.
- Maintain proper records of operations, appointments, and project updates.
- Generate and submit monthly operational and performance reports.
4. Operations Monitoring
- Track and manage rescheduled appointments, ensuring timely follow-up until closure.
- Monitor daily operations and ensure all assigned tasks are completed on time.
- Oversee and coordinate the daily working routine of the HDB team.
5. Customer Service
- Handle customer feedback, inquiries, and complaints professionally.
- Ensure all customer requests are followed through and resolved satisfactorily.
6. Team Support & Coordination
- Provide operational support to other departments when required.
- Ensure effective communication and coordination across teams.
- Support continuous improvement of operational processes.
