Job Description:
We are seeking a detail-oriented and customer-focused Operations Officer to join our team. The ideal candidate will support visa application processes, manage customer interactions, and ensure compliance with organizational standards. This role is crucial in maintaining the efficiency and quality of our operations.
Key Responsibilities:
- Document Processing: Conduct document scrutiny and collect applications for visa processing. Record and maintain application data accurately in the system.
- Customer Service: Handle customer and applicant inquiries via email, telephone, and in person. Provide information about Value-Added Services (VAS).
- Transaction Management: Manage cash and bank transactions (if assigned) with 100% accuracy.
- Logistics Coordination: Oversee the administration and delivery of passports to consulates, applicants, and logistics partners.
- Compliance & Efficiency: Maintain adherence to TRIFAP and MOM guidelines. Ensure compliance with standard operating procedures (SOPs).
- Operational Support: Assist in maintaining the Productivity & VAS Conversion Grid and support the Deputy Manager/Operations Manager in project execution.
- Health & Safety: Adhere to the organization's environmental, health, and safety policies.
Job Requirements:
- Minimum Qualification: GCE O Level / N Level / ITE certificate
- Experience: At least 12 months in the Travel, Tourism, or Service industry
- Skills:
Strong attention to detail and document handling accuracy
Excellent communication and problem-solving abilities
Able to manage cash transactions and data entry efficiently
Comfortable working in a fast-paced, high-volume environment
Team player with good organizational skills

- Productivity: Meet targets as per the Team Objective Tracker
- Customer Satisfaction: Minimize complaints and achieve high feedback scores
- Data Accuracy: Ensure 100% accuracy in application processing
- Attendance & Punctuality: Maintain consistent attendance and on-time reporting
- Training & Certification: Complete mandatory training and Internal Process Certifications (OCLs)
- Error Monitoring: Maintain an Error Log and actively work on reducing errors
