Job Summary
We are seeking a highly organised and strategic Operations Manager to oversee the seamless functioning and continued growth of our clinic. This pivotal role is responsible for ensuring operational excellence across all non-clinical areas, including administration, finance, human resources, and patient service delivery. The ideal candidate will be a proactive leader who can optimise processes, manage resources efficiently, and contribute to strategic planning, all while upholding our high standards of patient care.
Key Responsibilities
Clinic Operations & Process Improvement:
- Oversee the day-to-day administrative and operational functions of the clinic to ensure maximum efficiency and a flawless patient journey.
- Develop, implement, and refine Standard Operating Procedures (SOPs) for front desk, administrative, and support services.
- Manage clinic scheduling systems to optimise chiropractor time and patient flow.
- Ensure the clinic environment is maintained to the highest standards of professionalism, cleanliness, and safety.
Financial Management & Reporting:
- Work with external accountants to manage billing, invoicing, accounts receivable, and petty cash.
- Monitor key performance indicators (KPIs) such as patient volume, revenue, and expenses.
- Prepare regular operational and financial reports for the Clinic Director.
- Assist in budget preparation and monitor expenditure against budgets.
Team Leadership & Human Resources:
- Lead, mentor, and manage the non-clinical team (e.g., Clinic Assistants, Receptionists).
- Coordinate staff scheduling, leave management, and performance reviews.
- Facilitate training and professional development for the administrative team.
- Manage the recruitment process for operational staff.
Patient Experience & Compliance:
- Uphold and enhance the patient experience, addressing and resolving any service issues promptly and professionally.
- Ensure strict adherence to Singapore healthcare regulations and data protection policies (PDPA).
- Manage inventory of clinical and office supplies, ensuring cost-effectiveness and availability.
Business Growth & Marketing Support:
- Collaborate with the Clinic Director on business development initiatives and growth strategies.
- Analyse patient feedback and market trends to identify opportunities for service improvement.
- Oversee the implementation of local marketing activities and community outreach programs.
