About the job

We're looking for an Operations Intern to support the operations team at Griffin Labs—a pre-seed embodied AI and robotics company building intelligent machines for facilities management in Singapore. You will help turn plans into executed work: detailed runbooks for events and visits, procurement and logistics tracking, finance and admin coordination, and reliable follow-up across engineering and go-to-market.

This is a hands-on role with real deliverables: the timelines, checklists, and status trackers you maintain will keep investor visits, exhibitions, facilities pilots, and day-to-day company operations on schedule. You should be organized, detail-oriented, and comfortable operating in a fast-moving hardware and AI startup where deadlines and dependencies matter.

The role is an employment internship based on-site in Singapore for 3–6 months. You will report to the Head of Operations and may coordinate with the CEO office on shared logistics or leadership-facing tasks.

What you'll do

  • Help build and maintain ops plans and runbooks for initiatives such as investor office visits, trade shows, facilities deployments, and internal milestones—tasks with clear owners (DRIs), deadlines, strict vs flexible dates, and dependencies
  • Track execution against plans: update checklists, chase status with owners, surface blockers early, and capture plan-vs-actual notes when dates or outcomes shift
  • Support procurement and logistics: order follow-up, delivery dates, shipping or equipment moves, vendor correspondence, and simple cost or invoice tracking in shared spreadsheets
  • Assist finance and admin workflows: organize receipt and claims folders, help reconcile expense batches, maintain filing conventions, and flag missing documentation before deadlines
  • Coordinate practical logistics for events and visits: travel and accommodation details, on-site schedules, equipment prep lists, room or demo setup checklists, and post-event wrap-up actions
  • Maintain internal ops trackers for hiring steps, contractor onboarding, key vendor relationships, and recurring operational rhythms (weekly status, milestone reviews)
  • Draft clear written updates for the ops lead—status summaries, risk flags, and next-step lists—without needing heavy editing for structure or accuracy
  • Work with engineering, marketing, and leadership when an initiative spans teams; keep one consolidated view of who owns what and when it is due

What we're looking for

  • Currently pursuing or recently completed a degree in Business, Operations, Engineering, Supply Chain, or a related field—or equivalent demonstrated experience through internships or projects
  • Strong organizational skills and comfort managing many small tasks with explicit deadlines and owners
  • Working proficiency in Excel or Google Sheets for trackers, timelines, and simple budgets; willingness to learn Notion, Google Workspace, or team tools quickly
  • Clear written English for checklists, emails, and short status updates
  • Reliable follow-through: you close loops, confirm receipts of information, and do not let tasks disappear between teams
  • Comfort working around technical and hardware projects (lab equipment, robot demos, shipping constraints) even if you are not an engineer
  • Professional judgment in a small team; comfortable working on-site in Singapore full-time for the internship term

Nice to have

  • Prior internship or project experience in a startup, operations, events, consulting, or program coordination role
  • Exposure to procurement, vendor management, or logistics (hardware, events, or travel)
  • Familiarity with facilities management, hospitality, airports, or other operationally complex commercial environments in Southeast Asia
  • Basic understanding of expense claims, invoices, or lightweight finance admin in a small company
  • Experience supporting exhibitions, investor visits, or cross-functional launch-style initiatives
  • Interest in robotics, embodied AI, or deep-tech go-to-market—not required to be technical, but helpful for context
