Job Description

Job Summary

The Operations Executive will be responsible for end-to-end operational execution of middle distillates trading activities, including contract administration, shipping coordination, and logistics management. The role ensures smooth execution of trades in compliance with contractual terms while supporting commercial objectives and minimizing operational risks.

Key Responsibilities

  • Manage full spectrum of operations for light - middle distillates products from trade confirmation to final settlement
  • Review and verify sale and purchase contracts, ensuring accuracy and compliance with agreed terms
  • Coordinate with traders, counterparties, suppliers, inspectors and terminals on cargo scheduling and delivery
  • Handle shipping and logistics arrangements, including vessel nomination, laycan management, and voyage monitoring
  • Liaise with shipowners, agents, and surveyors to ensure smooth cargo loading/discharge operations
  • Monitor and manage demurrage/despatch calculations and claims
  • Ensure timely preparation and verification of shipping documents (e.g. Bill of Lading, Certificate of Quantity/Quality, invoices)
  • Track cargo movements and update internal stakeholders on operational status and potential issues
  • Work closely with finance team on invoicing, payment follow-ups, and cost reconciliation
  • Ensure compliance with internal policies, contractual obligations, and regulatory requirements
  • Identify and resolve operational issues, minimizing delays and financial exposure

Requirements

  • Bachelor's degree in Business, Logistics, Maritime, or related discipline
  • Minimum 2-3 years of relevant experience in oil trading operations, preferably handling middle distillates
  • Strong knowledge of shipping operations, Incoterms, and trade lifecycle
  • Familiarity with demurrage, laytime calculations, and cargo documentation
  • Good understanding of international trade practices and logistics coordination
  • Strong attention to detail and ability to manage multiple transactions simultaneously
  • Good communication and stakeholder management skills
  • Proficient in Microsoft Office (Excel, Word, Outlook)
