Overall Responsibilities:

Operational Responsibilities

  • Responsible for site level procurement of supplies, materials, equipment, and inventory management.
  • On site management of all Service Level Agreements including IT, catering, and cleaning ensuring on- going monitoring of contracts.
  • Manage community use of school site.
  • Coordinate with the Operations Manager to maintain apositive, safe learning environment through thepromotion of the school ethos and vision
  • Coordinate school safety plans with the Operations Manager - fire drills, flood plans and student healthincluding first aid and vaccinations
  • Ensure all school policies are kept up to date
  • Management of service contracts with third parties florcleaning, security, building maintenance etc.
  • Responsible for overall maintenance of school building and grounds

Stock Control and Purchasing

  • Responsible to source, negotiate and purchase materials from both local and oversea vendors
  • Evaluate vendor's quotation to ensure that they are in line with the requirements
  • Advise internal and external on issues regarding purchasing Terms & Conditions
  • In charge of daily operational purchasing needs such as planning, issuing and following up on Purchase Orders delivery and shipment schedules
  • Resolve supply, quality, service and invoicing issues with vendors
  • Evaluate supplier performance based on quality standards, delivery time & best prices and ensure all the criteria are met according to the organizational requirements and expectation
  • Responsible for implementing internal procurement strategies to cater to high delivery and short lead time requirements

Financial Administration Functions

  • Responsible for creating PRF and PO as required and ensuring timely approval is obtained from higher management and parties involved
  • Responsible for school level budget monitoring and management, with input into budget development.

Other duties

  • Liaise with school transport company to ensure students are provided bus timely
  • Update school system with new request / termination of bus service
  • Deal with parent feedback regarding bus service andanswer to questions and queries with a quick turnaround
  • Liaise with school transport company to organize ad hoc request for bus

Qualifications

REQUIREMENTS

  • Degree in Business Administration, Supply Chain Management, or related field.
  • 2 years of relevant experience in procurement, operations, or administration, preferably in an education or service-oriented sector.
  • Strong knowledge of procurement procedures, vendor management, and basic budgeting.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Strong communication and interpersonal skills with a collaborative, service-oriented approach.
  • Ability to work independently with minimal supervision. Adaptable to a fast-paced international school environment.
