The Operations Executive supports the daily operations of the dormitory and assists in maintaining a safe, compliant and conducive living environment for residents. The incumbent shall oversee resident management, facility coordination, administrative functions and stakeholder engagement to ensure smooth operational delivery.
Key Responsibilities
Resident Management
- Manage resident check-in, check-out and room allocation processes
- Attend to residents and clients enquiries, feedback and operational concerns promptly
- Support resident engagement programmes, welfare activities and community initiatives
- Enforce dormitory house rules and operational policies
Operations & Facility Coordination
- Conduct routine inspections of dormitory facilities, common areas and residential blocks
- Coordinate maintenance, housekeeping, pest control and repair works with relevant teams and contractors
- Monitor cleanliness, safety and operational standards across the premises
- Escalate operational issues, defects and incidents to Management promptly
Administrative & Reporting Duties
- Maintain accurate records relating to occupancy, incidents, maintenance requests and resident matters
- Prepare operational reports, incident reports and compliance documentation
- Coordinate email, telephone and administrative correspondence with residents, employers and stakeholders
- Support audits, inspections and regulatory submissions
Stakeholder Coordination
- Liaise with government agencies, employers, contractors and service providers on operational matters
- Support emergency response and incident management activities
- Ensure compliance with FEDA requirements and dormitory operational standards
Additional Duties
- Perform any other duties assigned by the Management
Requirements
- Diploma or Degree in Facilities Management, Building Management, Hospitality, Business Administration or a related discipline
- Relevant operational experience in dormitory, residential, township, hospitality, property or facilities management operations is preferred
- Good understanding of the Foreign Employee Dormitories Act (FEDA), dormitory licensing requirements and relevant regulatory standards is advantageous
- Certification in Fire Safety Management and/or SIFMA Certified Facilities Management Expert (CFME) Tier 4 or Tier 5 will be an added advantage
- Strong interpersonal, communication and conflict resolution skills, with the ability to engage effectively with migrant workers, clients, government agencies and stakeholders from diverse cultural backgrounds
- Proficient in English (spoken and written) for work-related communication
- Ability to communicate in additional languages such as Tamil, Bengali, or Mandarin is an advantage to support effective communication with dormitory residents from diverse backgrounds
- Proficient in Microsoft Office applications and familiar with incident reporting systems, resident management systems and basic facilities maintenance processes
- Strong organisational, problem-solving and multitasking abilities, with the capacity to perform effectively in a dynamic operational environment
- Able to work rotating shifts, including weekends and public holidays when required
- Self-motivated, service-oriented and able to work independently as well as part of a team
