Job Purpose
The Academy Operations & Scheduling Executive is a detail-oriented and dynamic role responsible for the comprehensive operational support of the academy's programs across its island-wide network. The core function involves managing and executing the master training schedule to ensure the optimal utilization of all resources, venues, and instructor time.
This executive oversees end-to-end logistics, including coordinating personnel, materials, and transport, while ensuring training readiness through the timely preparation and mobilization of equipment and critical stores. Additionally, the role includes executing the setup and take-down of event booths for outreach, serving as a key contact to maintain high service standards for all stakeholders, and actively contributing to the academy sales and service productivity drives.
Job Responsibilities
1. Scheduling and Training Operations
- To be part of the team in implementing the Academy programs across island-wide training centres to fulfil demand, and achieve maximum profit, and optimise rooms utilisation.
- Coordinate end-to-end logistics for on-site and off-site trainings/events, including packing, delivery, and setup of equipment and materials.
- To support or manage the end-to-end training cycle, from registration to training completion of each and every trainee, ensuring a pleasant experience with SRCA.
- To manage and maintain timely and accurate records, like payments, attendances and results of trainees, using the TMS system, or required system.
- To prepare and manage the required records, reports and dashboards for management, for required audits (both internal and external) or review purposes on our academy's training from time-to-time.
2. Usage of IT Systems
- To learn and acquire good habits in using IT systems provided, like TMS and so on.
- To regularly update and suggest any improvement to bring about better efficiency and effectiveness in the systems
3. Product Knowledge and Life-long Learning
- To attend all products or trainings organised by the academy or product teams.
- To maintain and embrace life-long learning as part of career progression and in aligning with our academy's purpose in imparting knowledge.
- Maintain a deep understanding of all SRCA courses, accreditations (e.g., SRFAC, MOM), and subsidy schemes (e.g., SkillsFuture).
- Act as an ambassador for the Singapore Red Cross humanitarian mission and the value of its training programmes.
4. Sales & Service
- To contribute to the achievement of the sales and service KPIs through operational support and direct engagement where needed.
- From time-to-time, to handle both inbound and walk-in enquiries and follow-up with their requests.
- To learn and support any new programs or services introduced in the Academy.
5. Supervision & Collaboration
- To oversee, support and guide junior staff, ensuring alignment with operational standards and agreed KPIs.
- To be able to foster collaboration within the team and across departments to achieve Academy objectives.
Job Specification
Qualifications and Experience
- Possess a recognised diploma or university degree.
- Minimum Diploma or Degree in Business, Marketing, IT or a related field.
- Minimum 3 years of relevant training operations experience. Experience in the CET space is a plus.
- Proven track records of consistently meeting or exceeding KPIs.
Additional Skills and Knowledge
- Excellent planning, communication, presentation, and collaborative skills.
- Detailed oriented and work-flow driven, with the ability to understand complex processes and simplify them
- Proficiency in using IT systems and Microsoft Office Suite.
- Knowledge of Singapore's training landscape, including government grants and accreditation bodies, is highly advantageous.
