About the Role
SINGGATE is a growing Singapore smart home brand specialising in digital locks, smart laundry racks, and smart home solutions.
We are looking for a sharp, organised, and proactive Operations cum Recruitment Executive to support the daily running of our business.
This is a hands-on coordination role for someone who enjoys making things run smoothly. You will be involved in installation scheduling, retail and roadshow operations, sales manpower coordination, recruitment support, and general business operations.
You will act as a central coordinator between our technical team, sales team, retail outlets, customers, external vendors, and management.
As we are expanding our operations team, responsibilities may be assigned based on business needs and individual strengths. One team member may focus more on installation scheduling and logistics coordination, while another may focus more on retail operations, roadshow coordination, recruitment, and general business operations.
This role focuses on operations coordination and recruitment support. Routine payroll matters are handled by another dedicated team member.
Key Responsibilities
1. Service & Engineering Logistics Coordination
- Plan and arrange daily installation schedules for our engineering and technician teams.
- Optimise daily travel routes based on location, timing, urgency, and manpower availability.
- Coordinate with customers to confirm installation appointments and timing.
- Act as the communication link between sales, after-sales, admin, and technicians to ensure smooth installation delivery.
- Monitor daily installation progress and assist in resolving scheduling changes, delays, or coordination issues.
- Use company-provided digital tools and smart systems to improve scheduling accuracy and efficiency.
2. Retail Operations, Roadshow & Business Coordination
- Support the daily operations of company retail outlets and ensure stores are properly staffed, organised, and operationally ready.
- Arrange and monitor sales staff rosters for retail outlets, roadshows, and other sales activities.
- Coordinate roadshow and event arrangements, including venue communication, setup requirements, manpower planning, product preparation, and follow-up matters.
- Liaise with external parties such as landlords, roadshow organisers, suppliers, service providers, and relevant government departments when required.
- Coordinate communication between sales, admin, installation, retail, and management teams.
- Follow up on operational issues and ensure matters are properly handled and closed.
- Assist management in improving company workflows, documentation, communication, and daily operational efficiency.
3. Recruitment & Manpower Coordination
- Assist with manpower planning based on company operational needs.
- Manage job postings, resume screening, shortlisting, and interview arrangements.
- Follow up with candidates and coordinate interview schedules.
- Support onboarding arrangements for new employees.
- Maintain recruitment records and basic employee documentation.
- Work closely with management to recruit suitable candidates for retail, sales, admin, operations, and engineering-related roles.
Requirements
- Minimum 1-2 years of experience in operations coordination, retail operations, event coordination, logistics scheduling, recruitment support, sales administration, or customer service coordination.
- Experience handling staff rosters, multi-site coordination, retail outlets, roadshows, or field service scheduling will be an advantage.
- Strong organisational skills, logical thinking, and good time management.
- Able to coordinate multiple people, schedules, and tasks at the same time.
- Able to stay calm, practical, and resourceful in a fast-paced SME environment.
- Good communication skills and comfortable dealing with customers, staff, installers, vendors, and external parties.
- Professional fluency in English and Mandarin, to communicate effectively with English and Mandarin-speaking customers, retail staff, installers, and external partners.
- Comfortable with scheduling tools, spreadsheets, WhatsApp, Lark, Google Sheets, Excel, or similar digital tools.
- Open to using digital and AI tools to improve work efficiency.
- Detail-oriented, responsible, proactive, and willing to take ownership of daily operational matters.
