Job Summary:
We are looking for a highly organized and service-oriented Operations & Client Services Coordinator to support the Customer Services Director in managing end-to-end trip arrangements.
This role plays a key part in ensuring smooth coordination of crew logistics, client travel needs, and onboard services for private jet operations.
This position offers flexibility and may be performed on a remote or roster basis, depending on operational requirements.
Key Responsibilities:
- Support the customer Services Director in daily operational coordination
- Work with operation team, arrange and manage crew and clients logistics, including flight bookings, accommodation, ground transport and catering.
- Handle flight-related bookings, including commercial tickets when required
- Manage in-flight catering arrangements, ensuring alignment with client preferences and standards
- Liaise with external vendors (hotels, caterers, ground handlers, travel agents) to ensure smooth execution
- Monitor flight schedules and respond promptly to operational changes or last-minute requests
- Ensure all arrangements are accurate, timely, and in line with company service standards
- Assist with trip documentation, reporting, and administrative support
- Perform ad-hoc operational tasks as required
Requirements:
- Prior experience in aviation, travel, hospitality, or logistics coordination is preferred
- Strong organizational and multitasking abilities in a fast-paced environment
- High attention to detail and ability to manage time-sensitive tasks
- Good interpersonal and communication skills
- Proficient in Microsoft Office (especially Excel, Word, and Outlook)
- Able to work independently with minimal supervision
- Willing and able to work outside standard hours, including evenings, weekends, and on a roster basis
Working Arrangement:
- Remote or roster-based, depending on operational needs
- Requires flexibility to support off-hours operations in line with flight schedules
