Job Scope:
Process Documentation and Improvement:
- Review and document existing administrative processes
- Analyse current workflows to identify inefficiencies and bottlenecks
- Propose and implement improvements to streamline processes
- Assist in creating flowcharts and standard operating procedures (SOPs)
- Research and suggest potential RPA (Robotic Process Automation) and AI solutions for routine tasks
Data Management and Analysis:
- Assist in data entry, organization, and maintenance of departmental databases
- Conduct data analysis to support decision-making processes
- Create reports and presentations summarizing findings and recommendations
Administrative Support:
- Assist with scheduling meetings and managing calendars
Project Assistance:
- Support ongoing departmental projects as needed
- Help coordinate cross-functional activities
- Assist in tracking project milestones and deadlines
Office Management:
- Assist in maintaining office supplies inventory
- Help coordinate office events and team-building activities
Folder Maintenance and File Organization:
- Assist in digitizing physical documents and organizing them in the digital system
- Create and maintain a folder inventory or index for easy navigation
- Implement version control for frequently updated documents
- Ensure proper access rights and permissions are set for sensitive folders
Asset Identification and stocktake:
- Create a detailed list of all office and IT assets to be included in the stocktake
- Develop a categorization system for different types of assets (e.g., furniture, office equipment)
- Physically tag all assets included in the stocktake
Any other assignments/ tasks assigned by supervisor.
