Key Responsibilities
Purchasing & Supplier Coordination
- Create and issue purchase orders
- Follow up with suppliers on delivery status and timelines
- Sourcing and obtaining quotations
- File warranty claims with suppliers when needed, co-ordinate between suppliers and internal teams for required information and follow up until closure of such cases
Inventory Control
- Maintain accurate inventory records and stock levels in system
- Monitor stock levels and initiate replenishment for commonly used items to avoid stock shortages
- Create and maintain inventory item codes and master data for new items
- Investigate stock discrepancies and coordinate with warehouse team for resolution
- Coordinate and participate in periodic stock take exercises
- Compile stock-take results and highlight discrepancies for review and correction, ensuring accurate counting and reconciliation
Logistics Coordination
- Coordinate inbound & outbound deliveries, receiving and issuing of goods with warehouse team
- Verify deliveries against purchase orders and documentation
- Prepare delivery documents (delivery orders, packing lists, etc.)
- Work with warehouse team to ensure proper recording of all stock movements (in/out)
- Ensure timely and accurate updates of inventory records
Administrative Support (Support Function)
- Maintain operational documentation and filing
- Support other general operational or administrative tasks as assigned
- Ensure timely follow-up and closure of assigned tasks
Requirements
- 2-5 years experience in operations, purchasing, logistics, or inventory control
- Experience with ERP or structured inventory systems preferred
- Strong Excel and data accuracy skills
- High attention to detail (critical for stock accuracy)
- Good coordination and communication skills
- Able to manage multiple operational workflows simultaneously
