The Executive Education department at INSEAD delivers tailored and open enrolment programs for executives and organizations, focusing on leadership development and business innovation. INSEAD is seeking an Officer, Business Support to join our Executive Education Department. This is a full-time, temporary 1 year contract position starting 5 January 2026 based at our Asia Campus in Singapore. A hybrid working model is in place 3 days on campus, 2 days from home.

About The Job

Reporting to the Lead, Business Support, you will support one of our corporate partnership team in Singapore, covering APAC, to implement and coordinate all aspects of the administrative duties for the corporate client portfolio.

Your role within the team

Administrative & Operational Support

  • Provide day-to-day administrative support to the Corporate Partnerships (CSP) team.
  • Coordinate logistics for client visits, including meeting/events preparation, room bookings, and catering arrangements.
  • Offer general administrative assistance and perform ad hoc duties as required.
  • Provide support with complex travel arrangements and expense management

Meeting & Communication Coordination

  • Assist in preparing for meetings, including scheduling complex calls/meetings using platforms such as MS Teams and Zoom.
  • Follow up with the CSP team on booking requests and ensure timely action from the team.

Proposal & Presentation Support

  • Gather information & assist in/ help collating and formatting presentations and proposals for new programmes.
  • Review PowerPoint documents and proposals, ensuring consistency and spell check/accuracy.
  • Track the status of sent proposals and maintain related records.

Contract & Procurement Management

  • Drafting contracts adding company details and programme details on contract template
  • Manage the contract signature process, including:
    • Sending contracts via DocuSign or PDF.
    • Following up with clients for signatures.
    • Internally distributing signed contracts.
    • Tracking tax numbers, tax certificates, and PO.
    • Follow up on client invoicing between Accounts Receivables and CSP teams.
    • Support procurement-related tasks, including working on procurement platforms (vendor registration) and assisting with responses to RFPs.
Data Management & Reporting

  • Input and manage data in Salesforce:
    • Create opportunities, attach proposals, closed/won opportunities upon reception on signed contract, and cross-check information to ensure smooth CSP workflow.
    • Log calls and meetings.
    • Produce reports and maintain accurate records based on given data.
Research & Stakeholder Engagement

  • Conduct initial company research using tools such as Datamonitor/ AI/ S&P Capital summary and internal reports- Meeting brief
  • Engage with internal stakeholders to address client requests and ensure smooth communication.

The ideal candidate profile

  • At least a diploma in any field of studies
  • Minimum 3 to 5 years of experience in a similar position, within a multinational organisation
  • Ability to work independently and within a team in a fast-paced environment, with tight deadlines
  • Ability to understand client needs and provide timely, thoughtful solutions
  • Extremely well organised and structured
  • Strong attention to details, multitasking
  • Good at scheduling project management
  • Proficient using Salesforce, MS Powerpoint
