Position Summary
The Officer/Assistant Officer - Customer Service, supports daily administrative and customer service functions, helping maintain a professional and well-organized Business Centre.
Tasks and Responsibilities
- Provide professional front-line customer service and concierge support to Owners, VIPs, clients, and visitors.
- Coordinate internal and external meetings, events, and VIP visits by ensuring meeting rooms and event areas are fully prepared with the required facilities, audio-visual equipment, refreshments, and personal protective equipment (PPE).
- Perform general administrative duties, including document control, filing, record management, and internal document distribution.
- Prepare and submit Customer Satisfaction Questionnaire (CSQ) reports to the Quantity Surveying (QS) department and upload the reports into the Novade system.
- Process invoices and billing through the Esker system, including owner meals, transportation, hotel accommodation, and other related services.
- Raise Purchase Requisitions (PR) and Material Requests (MR) in SAP in accordance with company procedures, and coordinate the collection of required PPE from the main store.
- Monitor and replenish office supplies, pantry items, stationery, beverages, meals, and PPE to ensure sufficient inventory is maintained.
- Coordinate daily lunch arrangements and liaise with external vendors and service providers as required.
- Coordinate with internal departments and oversee janitorial and facility services to maintain a clean, safe, organized, and professional Business Centre environment.
- Review OEC applications for completeness, accuracy, and compliance before submission.
- Perform other administrative and customer service duties as assigned by the supervisor.
Job requirement
- Minimum 2 years of relevant experience in customer service, administration, hospitality, or front office operations.
- Diploma or equivalent qualification in Business Administration, Hospitality, Customer Service, or a related discipline is preferred.
- Excellent interpersonal and communication skills with a customer-focused approach.
- Strong organizational and multitasking skills, with attention to detail.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Experience using SAP, Esker, or other enterprise systems will be an advantage.
- Able to work independently and collaboratively in a fast-paced environment while maintaining professionalism and confidentiality.
