About the role

As our Workplace Experience Specialist, you'll be the face and heartbeat of our office — the first person visitors and colleagues meet, and the person who keeps our workplace running smoothly every single day. This is a hands-on, on-site role: you'll be based in the office five days a week, because being physically present is what makes you effective at creating a great day-to-day experience for everyone who walks through our doors.

A summary of the key responsibilities are as follows:

Front-of-house and employee experience

  • Greet all visitors with a positive, welcoming attitude, setting the tone for their experience with Doctor Anywhere
  • Take messages, receive deliveries and mail, and cascade promptly to the relevant parties
  • Contribute to employee experience by organizing company-wide events and employee engagement activities
  • Assist with queries and requests from colleagues, directing them clearly and efficiently to the right channel
  • Assist with New Hire Day 1 onboarding and manage the new hire kit inventory

Facilities and vendor management

  • Manage company access passes and lockers, including proper record keeping, issuance and termination
  • Act as coordinator and liaison for all matters involving building management, including activities related to office moves
  • Manage third-party vendors including our office cleaner, ensuring the office stays clean and tidy
  • Oversee all physical inventory and facilities within the office, arranging repairs and maintenance as needed
  • Provide administrative support and maintenance to ensure the smooth day-to-day running of office infrastructure

Administrative support

  • Handle administrative matters including contract management, invoicing and payments to vendors, and upkeep of employee-experience-related databases
  • Take on ad hoc duties as and when required

About you

  • Available to start in July 2026, or able to commit to a short notice period is preferred
  • Able and willing to work from our office daily, Monday to Friday — this role is fully on-site
  • Minimum diploma holder with at least 2 years of experience in customer service, facilities management, team assistance, or a related field
  • Solid understanding of frontline operations and office management
  • Excellent written and verbal communication and coordination skills in English; proficiency in another language is a plus
  • Able to work on the occasional weekends when needed. Off in lieu will be given accordingly.
  • Strong service mindset with a passion for helping people
  • Strong multitasking skills with attention to detail
  • A start-up attitude - you take full ownership of things that you do, willing to go out of your comfort zone and take on new challenges.
  • Comfortable with ambiguity and flexible to learn new things - we're not done growing, and heading into uncharted territories is part of the fun!
