Job Description:
- Requirements Gathering & Stakeholder Engagement:
- Collaborate closely with cross-functional teams (HR, IT, Facilities, and Business Units) to understand operational pain points, spatial needs, and technology requirements.
- Translate business needs into clear technical specifications, functional requirements, and user stories.
- Solution Sourcing & Market Research:
- Conduct market research to identify innovative workplace technologies, smart office solutions, vendors, and industry best practices.
- Evaluate potential vendors, software, and hardware solutions for feasibility, cost-effectiveness, and scalability.
- Tender & Procurement Management:
- Draft comprehensive tender documents, Request for Proposals (RFPs), and technical specifications.
- Manage the end-to-end procurement and tender evaluation process in compliance with company policies and governance standards
- Project Management:
- Develop detailed project plans, timelines, milestones, and resource allocations for office transformation initiatives.
- Oversee contractors, vendors, and internal teams to ensure projects are delivered on time, within scope, and within budget.
- Managing User Expectations:
- Serve as the primary point of contact for stakeholders throughout the project lifecycle.
- Proactively communicate project updates, address concerns, manage competing priorities, and align stakeholder expectations.
- Change Management & Implementation:
- Design and execute robust change management strategies to ensure smooth adoption of new workspaces, processes, or technologies.
- Develop training materials, communication toolkits, and feedback channels to support employees through the transition phase
Skill Sets:
Workplace Tech:
Understanding of smart office ecosystems, collaboration tools, workplace management systems, or IoT infrastructure is a strong advantage.
Tender & Procurement:
Proven track record in drafting tender documents, RFPs, and managing vendor evaluation cycles.
Change Management:
Experience implementing structured change management frameworks (e.g., Prosci/ADKAR) to drive user adoption.
PM Methodologies:
Familiarity with standard project management frameworks (e.g., PMP, Agile, PRINCE2).
