About the Role

We are seeking a friendly and well-organized Receptionist to join our team! You will play a key role in creating a positive first impression and ensuring smooth day-to-day administrative operations.

Key Responsibilities:

Visitor Management-

  • Greet and welcome guests warmly, ensuring a professional and pleasant experience that reflects positively on the company

Administrative Support-

Assist in a wide range of administrative tasks to keep operations running , including but not limited to:

  • Scheduling appointments and organizing calendars
  • Managing incoming calls, emails, and other communications
  • Sorting and distributing mails
  • Data entry and maintaining accurate records
  • Handling expense reports
  • Providing general office management support
  • Ensuring the office environment is clean, tidy, and well-stocked
  • Ensuring meeting rooms are set up and ready for scheduled meetings
  • Assist with meeting minutes
  • Support event planning including sourcing, preparing materials and liaising with vendors
  • Support training sessions and workshops
  • Coordinating travel arrangements (if any)
  • Performing other administrative duties as assigned by supervisors

Requirements

  • Proficiency in office software (example Microsoft Office)
  • Previous experience in a similar front desk, receptionist, or administrative role
  • Strong customer service orientation and excellent interpersonal skills
  • Proficiency in Mandarin (spoken) to communicate with Mandarin-speaking guests and vendors
