We are looking for a parttime Office Manager to join the Linnovate Partners team. This individual will be responsible for managing the overall office administration and daily operations of the Singapore office, working 3 days per week, 9am-6pm. As the company continues to grow, this role may also be required to support office administration in other markets.
Responsibilities
- Oversee and manage all daily office operations for the Singapore office.
- Handle the full spectrum of office administration, including support for corporate/office events, office procurement, and other adhoc projects.
- Coordinate ordering of supplies, seating plans, and office moves to ensure efficient use of office resources.
- Plan and execute office layout changes and oversee equipment procurement, including coordinating with vendors on renovations and maintenance when required.
- Issue mobile phones and other necessary equipment to new hires.
- Manage expense and invoice processing for the administration department in a timely manner.
- Identify workflow or operational improvement opportunities and provide feedback to management.
- Develop, implement, and administer administrative procedures and policies (e.g., Global Business Travel Expense Guidelines, corporate policies).
- Provide logistics and administrative support for incoming visitors.
- Handle general reception duties including answering calls, managing deliveries, and coordinating courier services.
- Arrange business travel requirements including flight bookings, accommodations, and visa applications.
- Perform occasional outdoor tasks such as posting mail, cheque deposits, and collecting or delivering documents.
- Liaise with Office Managers and Office Assistants from other global offices (e.g., China, Hong Kong, US).
- Handle adhoc assignments as required.
Qualifications
- Bachelor's degree in operations management, Business Administration, or a related field.
- Minimum 4 years of office administration or operations management experience; experience supporting more than one market is advantageous.
- Strong budgeting skills, with experience in cost tracking and oversight.
- Proven ability to delegate while maintaining strong organizational control.
- Skilled in conflict management and negotiation.
- Strong IT proficiency, including database management.
- Good working knowledge of general business software with proficiency in Microsoft Office (Word, Excel, Outlook).
- Bilingual communication skills in English and Mandarin for internal and external business communication needs.
