Job Description

  • The Office Manager is responsible for the operational support of the office in all aspects of office management. The responsibilities include, but is not limited to:-
  • Ensure smooth running and maintain cleanliness and order of the office.
  • Procure office/pantry supplies and equipment and maintain reasonable inventory levels of consumables.
  • Maintain office facilities and support any office refurbishment or relocation projects.
  • Oversee and support the office on all facilities related, housekeeping, safety and security issues.
  • Collaborate with IT Manager to support the annual building power shutdown exercise.
  • Update office visuals when necessary, working together with the Marketing Department
  • Oversee the maintenance of the Security Alarm System, CCTVs, water dispensers, landscaping, pest controls, daily general cleaning, and annual deep cleaning services
  • Oversee the external document storage facilities
  • Responsible for all non-IT related fixed assets and office maintenance budget submission.
  • Prepare service and price comparison, Purchase Requisition & Purchase Order, Single Source Technical justification form.
  • Responsible for staff badge and office access management.
  • Oversee the implementation of Health, Wellness, Environment (HWE) and Safety Initiatives
  • Support for HWE and Sustainability monthly report submissions
  • Responsible for HWE regular reports update such as office inspection checklist, best practices report, employee sickness rates, digital management checklist on safety management and compliances, office ergonomic survey statistics, fire warden and first aiders training arrangement.
  • Support for Corporate Security initiative and annual training program.
  • Liaise with external vendors for expatriates and foreign employees temporary accommodation and tenancy agreements.
  • Process expat's children school & transport invoices.
  • Process employees Panel Claim invoices and upload the claims on HR Portal.
  • Responsible for Leavers Exit Clearance and New hires onboarding office safety orientation
  • Support the HR employee wellness program and initiatives.
  • Support any ad-hoc projects assigned from time to time.
