Office Administration:
. Develop and implement office policies and procedures to enhance efficiency and compliance.
. Oversee office maintenance, including managing office supplies, equipment, facilities, and lease agreements.
. Handle office expenses and invoice settlements in compliance with audit standards.
. Lead office renovation and enhancement projects, collaborating with leadership on redesign and improvement initiatives.
. Manage general incoming calls and inquiries professionally.
. Assist with premises access management and record for internal staff and visitors.
Compliance and Office Safety:
. Ensure compliance with regulations and meet audit requirements.
. Maintain a business continuity plan (BCP) and uphold ESG (Environmental, Social, and Governance) responsibilities.
. Ensure the implementation and maintenance of office security systems and support the generation of relevant reports.
. Ensure workplace safety and proper maintenance of the physical workspace.
Office Procurement:
. Handle internal procurement to support office purchasing and delivery arrangements.
. Coordinate with vendors
. Ensure proper procurement processes, including Customer Due Diligence (CDD) checks.
Event Coordination:
. Coordinate and organize office events, town halls, team-building activities
. Organise staff well-being activities like yoga and Thai boxing classes.
Other Responsibilities:
. Manage tea lady routines and daily ad-hoc tasks.
. Assist with special projects and other duties as assigned.
