Role overview
We are looking for a highly organised, resourceful Office & Projects Manager – Operations, Admin & Event Delivery to keep our office running smoothly and to support the successful delivery of small-scale projects and programmes. You will be the operational backbone of the organisation — managing day-to-day administrative and office functions, supporting key HR and finance processes, and taking operational leadership for projects of up to 50 participants. In this dual-function role, you will work closely with leadership and cross-functional teams to ensure a well-run, efficient and positive working environment.
Office administration and operations
• Keep the office running smoothly, safe and professional on a day-to-day basis.
• Manage office supplies, equipment, facilities and vendor relationships.
• Maintain simple, efficient admin systems and filing (physical and digital).
• Handle office correspondence, scheduling and logistics.
• Be the first point of contact for office-related queries from staff and external parties.
HR support
• Coordinate onboarding and offboarding, including workstations, access and documentation.
• Maintain accurate employee records in line with company and legal requirements.
• Coordinate staff welfare initiatives, team events and internal communications.
• Support recruitment with interview scheduling, correspondence and candidate coordination.
• Liaise with external HR providers or authorities on administrative matters.
Finance support
• Manage vendor payments, including POs, invoices and approvals.
• Track office expenses and assist with basic budget monitoring.
• Liaise with the finance team or external accountants on payments and reimbursements.
• Support procurement by sourcing quotes, evaluating vendors and maintaining supplier records.
Project operations (events / programmes up to 50 pax)
• Own the operational delivery of assigned events and programmes of up to 50 participants.
• Plan and manage timelines, run sheets, logistics and task trackers.
• Coordinate with vendors, venues, speakers and participants for smooth delivery.
• Monitor project budgets and flag risks or variances early.
• Act as the on-the-ground point of contact during events, solving issues quickly and professionally.
• Capture lessons learned and suggest improvements for future projects.
Experience and background
• 4–8 years experience in office management, operations, administration or a similar role, ideally in a small to mid-sized organisation.[gov]
• Hands-on experience supporting basic HR and/or finance administration.
• Proven track record coordinating or managing events, programmes or projects end-to-end.
• Background in eldercare, ageing services or events is a plus, but not essential.
Skills and competencies
• Highly organised, detail-oriented and comfortable juggling multiple priorities.
• Strong written and verbal communication skills, with a professional and approachable manner.
• Proactive, solutions-focused and able to work independently with full ownership of outcomes.
• Discreet and professional when handling confidential information.
• Confident using Microsoft Office (Word, Excel, Outlook) and task/project/AI management tools.
• Calm under pressure, especially during event and project delivery, and a collaborative team player.

Key performance indicators (KPIs)
In this role, success looks like: office operations running smoothly without disruption, accurate and timely vendor payments and records, and new hires being onboarded well and on time. You consistently deliver small-scale events and programmes on schedule and within budget, with positive feedback from participants and internal stakeholders. You keep administration clean and accurate, spot opportunities to streamline processes, and contribute practical improvements to how we run the office and deliver projects over time. These KPIs will be discussed and refined together with the successful candidate.
