Are you a detail-oriented and proactive admin professional looking to make a significant impact within a dynamic business environment Our client is seeking a meticulous and proactive Admin Executive to support their administrative, compliance, IT, and asset management functions. The ideal candidate will have prior experience in logistics or shipping, and demonstrate strong organizational skills with a keen eye for detail.
Key Responsibilities
General Administration
- Provide administrative support to the Managing Director (MD), including expense claims, travel arrangements, meeting room bookings, and other secretariat tasks.
- Plan, organize, and lead internal recreational activities and represent the company in external events.
- Coordinate conference logistics: manage guest lists, send notices, maintain portals, handle post-event surveys, and liaise with vendors.
- Manage and verify expense claims and prepare regular expense tracking reports.
- Perform miscellaneous duties including stationery ordering, survey preparation, and statutory user ID management.
Asset Management
- Source quotations, prepare price comparisons, and process purchase requisitions for company assets.
- Receive, store, allocate, and maintain records of company assets, ensuring regular updates to the asset registry.
- Support audit requirements, monitor asset conditions, and coordinate asset replacements or disposals as needed.
Compliance & Documentation
- Assist in ISO and company-wide compliance monitoring to ensure adherence to regulatory and corporate standards.
- Participate in internal audits, risk assessments, and contribute to compliance improvement strategies.
- Maintain up-to-date documentation, support auditors, prepare reports, and monitor compliance-related systems.
- Serve as a key contact point for compliance queries and implement policy updates and enhancements.
IT Application Support
- Support system administration tasks including user ID setups, table updates, and other backend operations.
- Review test scenarios, conduct UAT (User Acceptance Testing), and coordinate with vendors and service providers.
- Monitor system requisitions and ensure timely updates on internal platforms such as bulletin boards.
- Maintain system manuals, reports, licenses, and training materials.
- Provide first-level user support and assist Helpdesk operations when required.
- Assist the IT team with software implementation and application verifications.
Job Requirements
- Minimum GCE O Level qualification.
- Solid understanding of basic IT concepts and office systems.
- Proficient in Microsoft Office applications (e.g., Word, Excel, PowerPoint, Outlook).
- Strong communication skills, with the ability to interact effectively with internal teams and external stakeholders to gather requirements, provide support, and troubleshoot system-related or general office issues.
- Ability to support supervisors in the planning and execution of daily administrative tasks.
- Proactive, organized, and capable of handling multiple responsibilities with minimal supervision.
Salary: $3,200 to $3,600 monthly
