As Office Administrator, you will be our office ninja, ensuring the back office operations run smoothly, creating an energised environment to support our teams. This role will be reporting into our People & Culture Director.

What you'll be doing

  • Responsible for office and facilities management and maintenance, including and not limited to office and carpet cleaning, air-con servicing, building and door access cards, plant care, telco services
  • Ensure timely procurement and maintenance of office and pantry supplies and equipment.
  • Raise purchase orders, receive goods and process delivery orders to facilitate the finance payment process.
  • Oversee logistics of weekly WIP meeting
  • Collaborate with HR and management team on rolling out office guidelines, best practices and communications
  • Support the onboarding of new joiners and offboarding of leavers in terms of IT and administrative matters
  • Manage various office subscriptions and contracts to ensure efficient utilisation and timely renewal or termination.
  • Provide executive support e.g. claims processing, travel bookings for senior management.
  • Manage and support work streams on project software for internal teams (including user creation, invoicing, etc)
  • Organise and backup files on various platforms including MS Teams.
  • Assist with organising gifts and celebrations for special occasions such as employees birthdays and farewell.
  • Act as the main point of contact between employees and various internal support functions such as IT, Finance and HR.
  • Be onsite to support the production back office for large jobs
  • Any other ad hoc matters related to the smooth running and upkeep of the office.

The person we are looking for, would ideally have

  • 3 years of relevant experience in a fast paced and dynamic environment
  • Proactive with a strong sense of responsibility to follow through assigned scopes
  • Strong verbal and written communication skills
  • Meticulous and resourceful, able to work with teams of varying work styles
  • Creative and curious, constantly seeking opportunities to improve the ways of work
  • Proficient in MS word, excel and powerpoint
  • Open to travel for work
