The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.
Key Responsibilities
- Manage the full lifecycle of overseas office leasing, including lease negotiations, renewals, contract execution, and ongoing lease administration, ensuring operational continuity and compliance.
- Prepare and analyze monthly, quarterly, and annual financial reports, and support quarterly budget planning, monitoring, and cost control.
- Lead workspace planning for the Singapore office, including seating allocation, office furniture procurement, office relocation projects, and day-to-day facilities management to create an efficient and comfortable working environment.
- Coordinate employee access card issuance, office access control management, and office supply allocation to ensure smooth day-to-day operations and a seamless employee experience.
- Manage the company's corporate seal/chop in accordance with internal policies and compliance requirements.
- Provide comprehensive administrative support to the international business team. Coordinate administrative and operational matters between headquarters and the Singapore office to facilitate effective communication, resource sharing, and a well-organized workplace.
- Support the planning and execution of corporate culture initiatives and employee engagement activities, oversee team-building budgets, assist with employee welfare programs, and undertake other administrative responsibilities assigned by management to ensure efficient team operations.
Qualifications
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Excellent written and verbal communication skills
- Ability to multi-task, organize, and prioritize work
- Bilingual in English and Chinese and you may need to liaise with Chinese stakeholders and suppliers
