Summary: Ocean Operations Coordinator
The Ocean Operations Coordinator is to review and process import transactions, including all related activities, for one or more major accounts, and to provide excellent, proactive and timely customer service. Duties will include preparation of freight quotes, tracking of freight and invoice processing. The Ocean Operations Coordinator performs all duties correctly and in compliance with all government regulations.

- Track and review shipping status to ensure timely departure, arrival, and delivery of freight, enter milestone data, and process data through our freight management system.
- Promote a positive relationship with the client by ensuring excellent, timely and proactive customer service, create quotations for individual shipments, and obtain proper approval and releases from customers.
- Independently handle standard freight bookings, manage the entire cargo handling process, and coordinate with internal and external stakeholders to optimize the handling and shipping of different commodities.
- Independently manage complex shipments, interpret ocean import regulations accurately, streamline documentation procedures, and prepare basic customs documentation.
- Process arrival notices for incoming shipments, conduct billings input, statement reconciliation and payment/outstanding collection.
- Communicate with customs brokers and logistics providers to resolve any potential issues or delays, and independently manage routine vendor interactions and evaluate vendor performance

- Knowledge of international ocean cargo procedures, export documentation, Incoterms, and customs compliance.
- Strong organizational, time management, and record-keeping skills for efficient multitasking in a fast-paced environment.

- Analytical thinking and problem-solving skills, with the ability to address discrepancies and drive continuous improvement.
- Proficient in MS Office applications (Excel, Word, Outlook) and able to adopt transportation or warehouse management systems as needed.
Education and Experience:
- Bachelor's degree preferred, but candidates with relevant diploma or equivalent experience considered.
- Minimum 1 to 2 years experience in air export operations or freight forwarding, including hands-on experience in documentation and operational coordination.
