Overall In Charge

Reporting To:

Nurse Manager

Role Purpose:

The OIC provides clinical, operational, and coordination oversight during assigned shifts. The OIC ensures safe patient care, accurate documentation across systems (Avixo & Epic), effective communication with hospital partners, and adequate staffing support while acting as the first point of escalation for nurses, coordinators, and hospital teams.

Key Responsibilities

1. Clinical oversight & Hospital Support

. Provide clinical support and clarification for queries from hospital teams (e.g. NUHS,TTSH,SGH,KTPH,NCCS etc)

. Support nurses in addressing clinical questions and escalation related to patient care

. Ensure adherence to approved clinical protocols and scope of practice

. Escalate clinical concerns appropriately to doctors or Nurse Manager

2. EMR Documentation & System Management (Avixo & Epic)

. Upload NUH / NUHS Medication Administration Records (MAR) from Epic to Avixo in a timely and accurate manner

. Upload NUHS case notes from Avixo to Epic as required

. Ensure completion and signing of EMR documentation in Epic within stipulated timelines

. Ensure documentation accuracy, completeness, and compliance with hospital and organisational standards

. Support troubleshooting of EMR-related issues during shifts

3. Operational & Staffing Support

. Support staffing matters during shifts to ensure adequate manpower coverage

. Assist with:

. Drop shifts

. Last-minute manpower gaps

. Redeployment where required

. Escalate unresolved staffing concerns to Nurse Manager or Operations team

4. Communication, Triaging & Coordination

. Actively support and respond to Slack queries related to:

. Clinical triaging

. Operational clarifications

. Nursing workflow issues

. Provide guidance and direction to nurses in real-time

. Support HWARDS coordination matters, including case alignment and communication between teams

5. Incident Management & Escalation

. Act as the first point of contact for incidents, near-misses, or safety concerns

. Provide immediate guidance and ensure proper escalation

. Ensure timely completion of incident reports and documentation

. Flag repeated issues or risks for leadership review

6. Compliance, Governance & Audit Readiness

. Ensure compliance with:

. MOH requirements

. NUH / NUHS partner expectations

. Internal SOPs and workflows

. Support audit readiness by ensuring documentation integrity and traceability

. Identify and escalate non-compliance or system gaps
