Job Description

This is a full-time, on-site role located in Singapore for a Medical Assistance Operations Support Executive. This role will be responsible for supporting the main operations teams to ensure continuity of services to clients without disruption in all aspects. The scope of responsibilities includes, but is not limited to, the following:

a. Operational Support and Project Management:

  • Project manage new client onboardings and launching of new services.
  • Create and update standard operating procedures (SOPs).
  • Develop and maintain operational workflows and supporting documents.
  • Train and support team members on company policies and procedures.
  • Manage and resolve customer complaints.
  • Facilitate and document regular operations meetings.
  • Maintain and monitor team schedules and rosters.
  • Assist in the processing and verification of invoices.
  • Manage IT system enhancement projects.
  • Serve as the main point of contact for certain client accounts.

b. Reporting and Data Management:

  • Track and report on key operational performance metrics.
  • Prepare and distribute regular reports for internal stakeholders.
  • Maintain and update incentive and performance tracking files.
  • Conduct regular backups of critical data and systems.

c. IT Implementation/Support:

  • Serve as the point of contact for the team's IT-related issues and external IT service providers.
  • Set up and maintain remote desktop access for team members.
  • Manage office IT equipment and software licenses.
  • Ensure proper data security and user access management.
  • Implementing AI related initiative to improve operation services.

d. Compliance and others:

  • Be responsible for data security, information security and BCP compliance.
  • Monitor and manage email communications and case management systems.
  • Coordinate logistics for internal and external events and meetings.
  • Support the administrative needs of various departments.

e. Medical Assistance:

  • Coordinate medical assistance and emergency medical evacuations
  • Arrange in- and out-patient treatment globally
  • Ensure proper communication with all stakeholders
  • Provide travel assistance
  • Claims adjudication for group and individual health insurance claims
  • Perform claims investigation and provide findings updates
  • Answer enquiries over hotline and email
  • Manage claims workflow and SLAs
  • Assist with policy administration
  • Assist in business development

Qualifications

  • Fresh graduates are welcome to apply.
  • Proficient in English language
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency with relevant software and tools (e.g. Zoho Desk, CRM, Excel, Powerpoint).
  • Ability to manage multiple tasks and prioritize effectively.
  • Good understanding of IT support basics (remote desktop setup, software license management, system access).
  • Having IT or AI related background or experience is an added advantage.
  • Willingness to be on standby for urgent medical assistance or operational escalations when required.
