RESPONSIBILITIES

  • This position is for Office of Postgraduate Professional Programmes (OPGPP).
  • Administration of centrally-coordinated shared courses:
    • Plan and independently manage the offering of shared courses for the Postgraduate Professional Programmes (PGPP), including demand forecasting, scheduling strategy, and stakeholder coordination to ensure operational excellence and service quality.
    • Lead the continuous review and enhancement of shared course processes, leveraging evaluation data and stakeholder feedback to strengthen workflows, governance standards, and user experience.
    • Monitor and evaluate the effectiveness of existing workflows, standard operating procedures, and administrative guidelines, recommending and implementing improvements to enhance efficiency, compliance, and scalability.
    • Contribute to data analysis and reporting for shared courses and relevant PGPP initiatives, coordinating follow-up actions arising from course evaluations to support Schools and faculty in addressing feedback and driving improvements.
  • Event Operations Support:
    • Manage the operational oversight of PGPP Overseas Study Missions with the Assistant Director, including registration governance, payment and budget tracking, internal and external stakeholder coordination, and risk mitigation to ensure smooth execution of overseas segments.
    • Support the planning and execution of postgraduate student engagement initiatives, including orientation programmes, networking events, and cross-departmental collaborations, managing event logistics, digital platforms, and on-site operations to ensure seamless delivery.
    • Contribute to the coordination and administration of PG Professional Development Workshops, including attendance governance, assessment tracking, and operational support.
  • Provide administrative support for postgraduate curriculum updates, scholarship processes, reporting requirements, and other cross-functional or strategic initiatives in collaboration with team members.
  • Other duties as assigned.
QUALIFICATIONS
  • Bachelor's Degree with at least 7 years of relevant work experience, preferably in higher education or programme administration.
  • Proficient in MS Office applications and adaptable to using relevant online platforms or digital collaboration tools when required.
  • Strong communication skills (both verbal and written), with the ability to interact effectively and professionally with students, faculty, internal departments, and external stakeholders.
  • Skilled in data analysis and reporting processes to support programme evaluation and decision-making.
  • Detail-oriented with strong organisational and problem-solving skills to manage multiple tasks and deadlines efficiently, adapt processes and suggest improvements.
  • Demonstrated ability to be versatile in working both independently and collaboratively as part of a team.
  • Positive, proactive, and service-oriented attitude, with a growth mindset and willingness to embrace new challenges.
  • Willingness to work occasional evenings or weekends, if required for events.
