Job Description

The role supports the Director, Allied Health Services & Pharmacy (AHS&P), in driving the planning, implementation and continuous improvement of policies, procedures and service delivery operations within AHS&P. Spearhead programmes, projects and care transformation initiatives to enhance patient care, optimize clinical workflows, and strengthen internal and external collaboration in alignment with national, cluster, and KTPH & YCH strategic directions.

MAJOR DUTIES AND RESPONSIBILITIES

(A) SPECIFIC

1. Lead day-to-day operations of AHS&P and drive efficient delivery of services across the Division in alignment with hospital strategic plans.

2. Oversee administrative processes including meeting arrangements, agenda preparation, minutes writing and management of appointments and venues.

3. Support and work closely with Allied Health HODs to execute divisional deliverables and drive implementation of key services and work processes.

4. Draft clinical papers, policies and presentation slides to support work delivered under AHS&P.

5. Perform data extraction, collation, analysis and submissions on behalf of the Director and HODs, covering clinical KPIs, DPIAs, ERMs, EHIs and other reporting requirements.

6. Serve as primary internal and external point-of-contact for AHS&P on talk requests, community partner engagements and official procurement processes (tenders/RFQs with MMD).

7. Lead and contribute to the design of workflows relevant to AHS&P, identifying opportunities to leverage technology and digital tools to enhance clinical workflows, patient safety and service efficiency, including overseeing UAT exercises and coordinating with IT teams for continuous improvement.

8. Work closely and support the Leads for the AHS&P portfolios to achieve the smooth delivery of activities:

- Provide oversighton the development and compliance of clinical competency frameworks, JCI standards and PDPA governance, overseeing annual audits and implementation of breach mitigation measures

- Oversee databases and ensure alignment on the strategic direction for training, research and Kaizen activities, including training events and development of training modules and e-learning content

- Lead planning and execution of staff engagement activities, divisional events; oversee AHS&P communications including EDMs, newsletters and SharePoint intranet, liaising with HR and Corporate Communications on branding and publications

- Drive care transformation initiatives within AHS&P in close collaboration with departments, multidisciplinary teams and community partners, identifying service gaps and developing targeted interventions or programmes to redesign patient-centred, outcomes-focused and resource-efficient care models

- Support the development and review of clinical guidelines, SOPs and care protocols ensuring alignment with evidence-based practice and regulatory requirements, and support grant applications and research collaborations to build an evidence base for new AHS&P care models

(B) GENERAL

  1. Align AHS&P goals with the business goals of the hospital.
  2. Support corporate activities and ad hoc projects relevant to AHS&P.
  3. Embrace continuous improvement as our way of life by improving and refining work performance on a daily basis.
  4. Any other duties as assigned by the Director, AHS&P.

JOB REQUIREMENTS

(A) EDUCATION, TRAINING AND EXPERIENCE

· Degree in a relevant discipline; postgraduate qualification an advantage

· Minimum 5 years of relevant experience in healthcare or a related field, with at least 2 years in a supervisory or managerial capacity

· Demonstrated experience in care transformation, service redesign or programme development within a healthcare context

· Familiarity with national healthcare transformation frameworks and community care landscape in Singapore preferred

· Strong analytical, interpersonal and communication skills

· Able to work independently and lead teams with minimal supervision

· Proficient in Microsoft Office applications including Excel, PowerPoint and Visio; knowledge of statistics an advantage
