Job Description
Operations & Administrative Management
- Provide and maximize resources to enable smooth operations in volatile business environment, including but not limited to, - Anticipate and prepare for potential operational challenges due to changing healthcare environment. - Calculating effective manpower requirements and updating job scopes - Developing work documents i.e. policies, procedures, work instructions, user guides, training materials and competency assessments - Adequate budgeting for resources
- Ensure core services are provided efficiently and effectively.
- Build and manage dashboards to provide statistical reports to measure operational performance and insights for learning and improvements.
- Identify opportunities and improvement areas to streamline or enhance delivery of core services.
Project Management
- Facilitate and work with relevant stakeholders/ service providers to review and ensure seamless, successful implementation of systems and renovation enhancements, including new/ changed OAS/ 1Q1P systems and workflows, clinic expansion, office/counters relocation, etc.
- Conduct requirements gathering, process mapping/ rationalisation, User Acceptance Test (UAT), full impact analysis of current business needs/workflows, milestones development, communication planning and post-implementation reviews.
- Work with respective domains of all service stations of SNEC clinics to facilitate successful project implementation and ensure seamless service delivery.
- Act as the department's contact person for systems and renovation enhancements projects.
- Drive projects and initiatives to increase value to stakeholders.
- Enhance working relationships with internal departments and external vendors.
- Implement project stages while considering the needs of various stakeholders, remove operational obstacles, manage change and provide support to stakeholders.
- Train and motivate project team/stakeholders to participate and contribute to process improvement.
People/Team Development
- Establish constructive work cultures contributing to a productive and motivated team.
- Conduct adequate communications to keep staff updated on organizational changes and work requirements.
- Evaluate staff performance for improvement, development and progression.
- Teambuilding and conflict resolution.
- Coach and manage poor performers.
- Mentor and retain high-performing staff.
- Focus on development of executives and team leaders.
- Lead and organize initiatives to achieve staff wellbeing
Job Requirements
- Degree, preferably in business/ healthcare management.
- 8 years of relevant experience, preferably in clinic operations in healthcare industry, with at least 2 years of managerial experience.
- Exceptional leadership/ organisation management skills and People Development skills.
- Demonstrated competencies in problem solving/negotiation / influencing skills.
- Proven ability to drive and achieve results in a dynamic fast-paced working environment.
- Experience working in the healthcare environment, especially the ability to work with clinicians and other professionals in multiple settings and locations.
- Possess an eye for detail and experienced in planning/ leading teams in multiple innovative projects to enhance patient experience and operational effectiveness/ efficiency.
