As the firm continues to grow, we are looking to strengthen our finance and operations capabilities with the appointment of a Manager, Finance & Operations.
The Opportunity
We are seeking a capable, organised and detail oriented professional to support the Directors across the firm's finance, fund operations, client onboarding and broader business operations activities.
This is a hands-on individual contributor role with broad responsibility and visibility across the firm. You will work closely with all our Directors, with primary day-to-day support provided to the Directors responsible for Finance and Operations.
You will be expected to take ownership of assigned responsibilities, coordinate effectively with external service providers and ensure that important financial and operational matters are completed accurately and on time.
The position will suit an ambitious professional who wants to gain comprehensive exposure to how a regulated fund manager and multi-family office operates.
Key Responsibilities
Corporate Finance and Accounting
- Support the maintenance of accurate accounting records for the firm and related entities.
- Manage invoicing, accounts payable, expense processing and corporate banking administration.
- Assist with budgeting, forecasting, cash flow monitoring and management reporting.
- Support monthly and annual financial closing processes.
- Prepare financial information, schedules and reports for review by the Directors.
- Coordinate with external auditors, tax advisers, corporate secretaries and other professional service providers.
- Support the preparation and timely submission of statutory and regulatory financial information.
- Maintain complete and audit ready financial records and supporting documentation.
Fund and Investment Operations
- Review NAV calculations, fund reports and supporting schedules prepared by external fund administrators.
- Perform or review cash, position and transaction reconciliations and follow up on outstanding discrepancies.
- Monitor fund cash positions, subscriptions, redemptions, fees and operating expenses.
- Coordinate day-to-day operational matters with fund administrators, custodians, brokers, private banks and other counterparties.
- Support trade settlement, corporate actions, cash movements and other investment operations matters.
- Maintain accurate fund records, operational trackers and supporting documentation.
- Assist with the preparation of fund factsheets, investor reporting and operational information requested by investors or service providers.
Client Onboarding and Banking Operations
- Support the onboarding of new family office and investment management clients.
- Prepare and coordinate private bank, custodian and brokerage account opening documentation.
- Collect, review and organise KYC, AML, source of wealth and related client information.
- Maintain accurate client files and monitor outstanding documentation and onboarding requirements.
- Coordinate operational requests between clients, banks, administrators and internal team members.
- Support the establishment and maintenance of client portfolio reporting and banking data feeds.
Systems, Vendors and Business Operations
- Maintain and update the firm's CRM, portfolio reporting, accounting and document management systems.
- Help improve internal workflows, operating procedures, checklists and control processes.
- Identify opportunities to streamline manual tasks and improve operational efficiency.
- Coordinate with technology providers, consultants and other external vendors.
- Assist with vendor reviews, contract administration and cost monitoring.
- Support general office and administrative matters required for the smooth operation of the firm.
- Participate in special projects and new business initiatives as required.
Candidate Profile
- 5 to 7 years of relevant professional experience.
- Experience in one or more of the following areas:
- Asset management
- Fund administration
- Investment or fund operations
- Private banking or wealth management operations
- Multi- family office or single family office operations
- Corporate finance or accounting
- Big Four audit or accounting with financial services clients
- A bachelor's degree in Accounting, Finance, Business Administration or a related discipline.
- A sound understanding of accounting fundamentals, financial reporting and reconciliation processes.
- Strong Excel skills and confidence working with financial and operational data.
- Excellent attention to detail and the discipline to maintain accurate and complete records.
- Strong organisational skills, with the ability to manage multiple responsibilities and deadlines.
- Clear written and verbal communication skills.
- The confidence to communicate professionally with clients, banks and external service providers.
- A proactive and dependable working style, with the willingness to follow through until matters are completed.
- Comfortable handling both routine operational responsibilities and more complex project work.
Preferred Experience
- Experience working with an MAS regulated fund manager or financial institution.
- Familiarity with Singapore Variable Capital Company structures.
- Experience reviewing fund NAVs or working with fund administrators, custodians or brokers.
- Exposure to client onboarding, KYC, AML and private bank account opening processes.
- Familiarity with regulatory reporting or compliance support.
- Experience using Xero or other cloud based accounting platforms.
- Experience with portfolio reporting, CRM or document management systems.
- A recognised professional qualification such as CA Singapore, ACCA, CPA, CFA or progress towards one.
