Job Description

Job Purpose

As we embark on plans to expand our team of event specialists, we are looking for a talented and

responsible project lead to join us in delivering successful rewards & recognition events for our Great

Easterns agency force.

If you are a dedicated and ambitious Events Manager with at least 5 years of relevant experience in

executing events with at least 500 attendees, you may be the one we are looking for.

You will need to be impeccably organized, a quick learner who is forward-thinking, efficient and

proactive while remaining calm and amicable in difficult situations. This position also requires you to

perform administrative and operational support to ensure the smooth delivery of our rewards &

recognition events/ programmes, both locally and overseas.

He/ she will report to Section Head, Events & Recognition.

The Job

  • Procurement & Budget Management
    • Develop, monitor and manage event budgets, expenses, and deliverables to ensure a high quality experience for qualifiers while keeping within the approved budget.
    • Follow internal procurement processes, prepare all necessary documentations, ensure necessary expenditure approvals are obtained and coordinate timely vendor payments.
    • Process reimbursements for qualifiers, securing necessary approvals and ensuring payments meet stipulated timelines.
  • Administrative, Database & Registration Management
    • Maintain accurate databases of qualifiers professional qualifications and achievements for events, recognition programmes, and publicity materials.
    • Utilise strong MS Excel skills (e.g., VLOOKUP/ XLOOKUP, Pivot Tables, formula calculations) and data logic skill sets to manage and analyse data effectively.
    • Possess basic knowledge of insurance associations and their recognition programmes.
    • Coordinate timely communications to drive strong participation in recognition events.
    • Track registration progress, send reminders (eDM/email), and ensure high on-site attendance.
  • Project & Programme Management
    • Lead event projects from concept to completion, managing venue, catering, vendors, gifts, entertainment, design, and other deliverables within budget.
    • Coordinate with internal teams and external agencies to deliver event programmes aligned with business objectives.
    • Ensure compliance with brand guidelines, policies, regulations, and quality standards.
    • Prepare detailed programme briefs for all parties involved.
  • Collaterals & Creative Management
    • Design and manage event collaterals, including invitations, reminders, and promotional materials.
    • Coordinate timely production and updates of event materials, handling last-minute requests when necessary.
    • Create simple in-house designs for digital and print communications.
  • Communications
    • Oversee all internal and external communications related to all our agency events and rewards & recognition programme, ensuring clarity and consistency.
    • Manage updates on schedules, project changes, and attendee confirmations.
  • Gifts & Tokens Sourcing
    • Source, manage, and distribute gifts, prizes, awards, and tokens for qualifying representatives.
  • Risk & Compliance Management
    • Takes accountability in considering business and regulatory compliance risks and takes appropriate steps to mitigate the risks.
    • Maintains awareness of industry trends on regulatory compliance, emerging threats and technologies in order to understand the risk and better safeguard the company.
    • Highlights any potential concerns /risks and proactively shares best risk management practices.
Our Requirements

  • Education: Diploma or Degree qualification
  • Preferably with minimum 5 years experience in events planning especially in the financial industry.
  • Clear Communicator Clearly and concise communications, both verbally and in writing to upper management as well as to the agency force
  • Sense of Ownership Self-motivated to take ownership of various projects and advance work without the need for micro-management
  • Detail-oriented while being a multi-tasker You can manage various deliverables productively, review/ check to ensure accuracy and details
  • A committed Team-Player - A passionate and committed team-mate who will help out in your other colleagues projects whenever necessary, even when it is beyond official office hours
  • A hands-on person One who enjoys rolling up your sleeves for pre-event logistics planning, onsite execution and delivery of events
  • Interest in finance, insurance products and how an agency force works to close protection gaps

Proficiency in Microsoft Office - Word, Excel, PowerPoint, Outlook, Teams. Advance skillsets like vlookup, pivot tables and macros are a plus when you need to do registration and data processing/ management

  • Willing to travel for overseas events
  • Pleasant, out-going, good-natured and motivated by working towards targets
  • High level of integrity, takes accountability of work and good attitude over teamwork.
  • Takes initiative to improve current state of things and adaptable to embrace new changes.
