Job Description

Applications are invited for the position of Manager to support the Director of a CyberSecurity Lab at the School of Computing, National University of Singapore.

The lab conducts research and collaborative projects with an external agency in the areas of AI and cybersecurity, and engages regularly with visitors, students, and government/industry partners.

The successful candidate will be responsible for the day-to-day administrative running of the lab, including financial matters, organization of lab events, seminars, etc.

The Job Duties Comprise The Following

Administrative Support to the Director

  • Provide day-to-day administrative support to the Director, including scheduling, correspondence, and preparation of meeting agendas and materials
  • Maintain lab records, manpower listings, and general documentation
  • Liaise with NUS administrative offices, and other stakeholders on operational matters
  • Support the on-boarding of research staff, students, and interns (access, seating, induction)

Finance & Budget Management

  • Monitor the lab's budget and track expenditure to ensure financial sustainability
  • Work with the Finance Office and grant administrators to process claims, payments, and reimbursements
  • Prepare documentation required for audits and grant reporting
  • Track fund utilisation against grant conditions and flag any compliance issues
  • Support procurement of equipment, goods, and services, and maintain asset/inventory records

Event Organisation

  • Plan and coordinate logistics for lab seminars, workshops, and events (venue, catering, invitations, publicity)
  • Coordinate visits from collaborators, government agencies, and industry partners
  • Support content for the lab's website/publicity materials as needed
  • Assist with any other ad-hoc duties as assigned by the Director

Qualifications

  • Bachelor's Degree with at least 5 years of relevant work experience, preferably in a research, university, or grant-funded environment
  • Prior experience handling budgets, claims, or financial administration strongly preferred
  • Experience organising events, seminars, or workshops
  • Strong organisational skills with the ability to multi-task and meet deadlines
  • Good written and interpersonal communication skills
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Meticulous, resourceful, and able to work independently with minimal supervision
  • Prior exposure to government-funded research grants is an advantage
  • Candidates who do not require work pass sponsorship will be an advantage.
