Job Description

1. School Operations and Administration

  • Lead and oversee daily school operational and administrative functions.

  • Ensure smooth implementation of operational systems, processes, and workflows.

  • Develop, review, and implement operational policies and procedures.

  • Support the Principal in operational planning and school-wide initiatives.

  • Ensure proper documentation and records management practices.

  • Oversee office administration and administrative support functions.

2. Facilities and Resource Management

  • Oversee school facilities, maintenance, infrastructure, and operational resources.

  • Coordinate repair, maintenance, and upgrading works with vendors and contractors.

  • Ensure school facilities remain safe, functional, and conducive for staff and students.

  • Monitor inventory, procurement, and asset management processes.

  • Support space planning and operational resource allocation.

3. Finance and Procurement Administration

  • Support budgeting, financial monitoring, and resource utilisation.

  • Ensure procurement processes comply with organisational policies and procedures.

  • Monitor contracts, quotations, purchases, and vendor performance.

  • Work closely with finance teams on operational budget matters and reporting requirements.

4. Compliance, Governance and Risk Management

  • Ensure compliance with organisational policies, regulatory requirements, and audit standards.

  • Support operational audit preparation and follow-up actions.

  • Lead workplace safety, emergency preparedness, and business continuity planning.

  • Monitor operational risks and recommend mitigation measures.

  • Ensure data protection and confidentiality standards are maintained.

5. Transport and Operational Support Services

  • Oversee transport operations and coordination for students where applicable.

  • Work closely with transport operators and relevant stakeholders to address operational concerns.

  • Ensure operational support services are responsive to student and school needs.

6. Stakeholder Management and Partnerships

  • Build and maintain positive working relationships with parents, vendors, community partners, and external stakeholders.

  • Coordinate with internal departments and external agencies on operational matters.

  • Support communication and collaboration across teams.

7. Team Leadership and Staff Development

  • Supervise and support administrative and operational staff.

  • Provide guidance, mentoring, coaching, and performance feedback to team members.

  • Support staff development and capability building.

  • Foster a collaborative, positive, and service-oriented work culture.

8. Continuous Improvement

  • Identify opportunities to improve operational efficiency and service delivery.

Job Requirements

Qualifications and Experience

  • Bachelor's Degree in Business Administration, Management, Operations, or a related field.

  • At least 5 years of relevant management experience, preferably in education, social service, healthcare, or related sectors.

  • Experience in operations, administration, facilities, procurement, or stakeholder management.

  • Prior supervisory or team leadership experience preferred.

Knowledge and Skills

  • Strong organisational and operational management skills.

  • Good leadership, communication, and interpersonal skills.

  • Ability to manage multiple priorities and stakeholders effectively.

  • Strong problem-solving and decision-making abilities.

  • Familiarity with compliance, governance, and operational risk management.

  • Proficient in Microsoft Office applications and administrative systems.
