Job Description

Responsibilities

  • This position is for School of Computing and Information Systems (SCIS).
  • Adjunct Faculty
    • Manage the entire function of adjuncts recruiting, hiring, onboarding and offboarding:
      • Liaise with undergraduate team to determine the number of headcounts required for each term.
      • Put up requisitions for adjunct headcounts including prepare and submit Job-bank postings.
      • Prepare summary of applicants for Associate Dean's (Undergraduate Education) evaluation.
      • Prepare offer letters and the other required forms for adjuncts hiring and payroll processing.
      • Attend to and manage adjuncts onboarding and offboarding process.
      • Maintain and ensure compliance to government's regulatory policies and SMU's/SCIS policies and guidelines.
      • Plan, forecast and manage adjuncts budget.
      • Any other admin work related to the function.
  • Conference/event organisation and execution
    • Guide the SCIS faculty organiser in planning the budget for the conference/event.
    • Lead and manage the tender process for procurement.
    • Manage revenue and expenses of events and conferences to ensure completeness and compliance:
      • Liaise with SCIS faculty hosting the event and the external professional organisation of the event on all financial matters.
      • Ensure adherence to relevant SMU policies and government regulatory policies.
      • P&L reporting and transactions reconciliation for events and conferences.
      • Liaise with SMU OFIN to reconcile all revenue and expenses at the end of each event.
    • Prepare reports and statements for audit after the conference/event.
    • Lead the execution (admin and logistics) of the conference/event.
  • Visitor Support - Backup
    • Provide administrative and logistics support to SCIS visiting faculty and research talks by visitors.
    • Manage reimbursement of visiting faculty.
  • Other duties as assigned.
Qualifications

  • Degree with 5 years of relevant work experience or diploma with at least 8 years experience, preferably in the education industry.
  • Self-motivated and resourceful with strong interpersonal and communication (both verbal and written) skills.
  • Good financial accounting/budgeting ability.
  • Able to work independently and at the same time, be an excellent team player.
  • Ability to manage multiple concurrent projects and deadlines.
  • Strong planning, coordination and execution skills.
  • Attention to detail and strong follow-through.
  • Strong analytical, administrative and problem-solving skills.

Other Information

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
