Job Description

The Lee Kong Chian School of Medicine (LKCMedicine) trains doctors who put patients at the centre of their exemplary care. The School, which offers both undergraduate and graduate programmes, is named after local philanthropist Tan Sri Dato Lee Kong Chian. Established in 2010 by Nanyang Technological University, Singapore, in partnership with Imperial College London, LKCMedicine aims to be a model for innovative medical education and a centre for transformative research. The School's primary clinical partner is the National Healthcare Group, a leader in public healthcare recognised for the quality of its medical expertise, facilities and teaching. The School is transitioning to an NTU medical school ahead of the 2028 successful conclusion of the NTU-Imperial partnership to set up a Joint Medical School. In August 2024, we welcomed our first intake of the NTU MBBS programme, that has been recently enhanced to include themes like precision medicine and Artificial Intelligence (AI) in healthcare, with an expanded scope in the medical humanities. Graduates from the five-year undergraduate medical degree programme will have a strong understanding of the scientific basis of medicine, with an emphasis on technology, data science and the humanities.

The Lee Kong Chian School of Medicine (LKCMedicine) is an integral part of NTU which aims to foster the development of future medical leaders and advance clinical research.

Align with this aim, LKCMedicine and National Healthcare Group (NHG Health) has jointly set up the Academic Partnership Office (APO), under the Academic Health System (AHS) to better integrate education, research and innovation through the Academic Clinical Programmes (ACPs) to groom the next generation of clinicians.

We currently recruiting a Manager who will join the APO. This role will be instrumental in driving the implementation and coordination of a broad range of initiatives and projects of the ACPs.

Key Responsibilities:

  • Serve as the primary point of contact for ACP administrators. This includes facilitating effective communication, aligning expectations, addressing operational issues, and ensuring timely followup on ACP-related matters.

  • Build and sustain strong working relationships across NHG Health, LKCMedicine, and partner institutions to support collaborative outcomes.

  • Provide secretariat support to the committees under the AHS, including coordinating meetings, preparing agendas and papers, tracking action items and ensuring compliance with governance and reporting requirements.

  • Responsible for cross-academic and clinical appointment processes and induction sessions, if applicable.

  • Plan and organise AHS events, outreach and publicity activities to build NHG Health-LKCMedicine AHS branding and engage a wider community of clinicians and faculty.

  • Provide support in management of website and curating social media contents for AHS publicity, to ensure content is current, accurate and aligned with AHS branding and communication objectives.

  • Coordinate with the ACPs and relevant departments/institutions on the collation of required data / outcomes and facilitate regular and timely reporting to management.

  • Conduct regular reviews and updates of APO's SOPs to ensure alignment with NHG Health and LKCMedicine policies and to maximise operational efficiency and effectiveness.

  • Provide operational support to the Assistant Director in daily management matters, and mentor junior APO staff, offering guidance in their daily work.

  • Perform other relevant duties as assigned by the Reporting Manager.

Key Competencies and Requirements:

  • Graduates from universities with at least 7 years of experience in administrative support in biomedical/clinical/academic environment

  • Experience in project management, stakeholders management, events management and Excel tools such as V-lookup, Pivot Table etc., will be an added advantage

  • Experience/knowledge in workflow automation and Power BI will be an added advantage

  • Able to work independently, perform under pressure and work effectively as a team

  • Good time management, able to multi-task and meet tight reporting deadlines in a fast-paced environment, without compromising quality of output

  • Numerically inclined, meticulous, proactive with good analytical, communication and interpersonal skills

  • Proficiency in Microsoft Word, PowerPoint and Excel

This is a 3-year full time position.
