Logistics Officer
We are seeking an experienced and detail‑oriented Logistics Officer to coordinate end‑to‑end logistics activities across international and domestic supply chains. This role plays a critical part in ensuring materials and equipment move efficiently, compliantly, and on time to support operational and project requirements across multiple stakeholders and jurisdictions.
The role will suit someone who thrives in a fast‑paced environment, is confident managing freight and customs complexities, and can proactively manage risk while maintaining strong stakeholder relationships.
Key responsibilities:
Transport & Freight Coordination
- Create, schedule, and coordinate inbound logistics for materials and equipment from international vendors.
- Coordinate and communicate with customers to manage outbound logistics requirements.
- Liaise with freight forwarders and customs brokers to ensure timely clearance and compliance with all regulatory requirements.
- Work closely with contractors and suppliers to ensure logistics planning is effective and consignment documentation is complete and compliant.
- Monitor shipment progress, proactively resolving delays, disruptions, or deviations.
- Identify supply‑chain risks and implement mitigation strategies to protect delivery schedules and costs.
Customs & Compliance
- Prepare, verify, and manage documentation for international shipments, including commercial invoices, airway bills, bills of lading, and customs declarations.
- Ensure compliance with import/export regulations, company HSEC standards, and internal governance requirements.
- Maintain accurate logistics and customs records for audit, reporting, and regulatory review purposes.
- Ensure compliance with Malawi Revenue Authority (MRA) requirements, including the correct application of import duty and tariff codes.
Inventory & Site Support
- Coordinate closely with site teams, warehouses, and cataloguing teams to align deliveries with operational and project schedules.
- Support stock control activities, including expediting critical or time‑sensitive items.
- Provide logistics expertise to support minimum and maximum inventory levels within ERP systems (e.g. Pronto), in line with logistics risk profiles and operational demand.
Vendor & Stakeholder Engagement
- Communicate effectively with suppliers, customers, transport providers, and internal teams to ensure seamless logistics flow.
- Negotiate transport rates and contribute to the management of service‑level agreements.
- Provide timely, accurate updates to stakeholders on shipment status, risks, and exceptions.

- Proven experience in a logistics, supply chain, or freight coordination role, ideally within an international or multi‑site environment.
- Strong understanding of international freight, customs documentation, and import/export compliance.
- Experience working with customs authorities, freight forwarders, and transport providers.
- Familiarity with Pronto ERP systems and inventory controls.
- Highly organised with strong attention to detail and the ability to manage competing priorities.
- Confident communicator with strong stakeholder engagement and problem‑solving skills.
- Risk‑aware mindset with the ability to proactively identify and mitigate logistics issues.
