Job Description

Position Overview

We are looking for a hands-on and organised Logistics & Facilities Manager / Assistant Manager to oversee the Company's logistics, warehouse, fleet and facilities operations.

The role is responsible for ensuring the safe, efficient and cost-effective movement, storage and delivery of goods, while maintaining operational readiness, workplace facilities, regulatory compliance and service standards.

The successful candidate will work closely with Procurement, Sales, Finance, HR and other departments, as well as suppliers, contractors and service providers, to ensure smooth day-to-day operations.

This is a hands-on operational leadership role that requires strong follow-through, problem-solving ability and the ability to manage both people and operational matters effectively.

Key Responsibilities

1. Logistics & Delivery Operations

  • Oversee day-to-day logistics operations, including delivery planning, driver deployment, route coordination and delivery execution.
  • Ensure deliveries are completed accurately, safely and within committed timelines.
  • Monitor delivery performance and investigate delays, failed deliveries, damages, discrepancies and customer complaints.
  • Establish and maintain effective logistics processes, work instructions and SOPs.
  • Coordinate with Sales, Warehouse and other departments to ensure timely fulfilment of customer requirements.
  • Monitor logistics-related costs and identify opportunities to improve operational efficiency.
  • Ensure proper documentation and records are maintained for logistics activities.
  • Review operational issues and implement corrective and preventive actions where required.

2. Warehouse & Inventory Operations

  • Oversee warehouse operations, including receiving, storage, picking, packing, staging and dispatch.
  • Ensure proper handling, storage and identification of inventory.
  • Monitor warehouse accuracy, productivity and housekeeping standards.
  • Work with relevant teams to minimise inventory discrepancies, damaged goods, lost items and operational wastage.
  • Support regular stock counts, inventory checks and investigations into discrepancies.
  • Ensure warehouse operations comply with established safety and operational procedures.
  • Identify opportunities to improve warehouse layout, workflow, space utilisation and productivity.

3. Fleet Management

  • Oversee the Company's vehicle and driver operations.
  • Monitor vehicle deployment, maintenance schedules, roadworthiness, servicing, insurance and related documentation.
  • Ensure vehicles are used appropriately and maintained in safe operating condition.
  • Monitor driver performance, attendance, conduct, safety and compliance with Company procedures.
  • Coordinate accident, vehicle breakdown and other fleet-related incidents and ensure timely follow-up.
  • Review fleet utilisation and operating costs and recommend improvements where appropriate.

4. Facilities Management

  • Oversee the day-to-day maintenance and operational readiness of the Company's offices, warehouses and other premises.
  • Coordinate preventive and corrective maintenance for building systems, equipment and facilities.
  • Manage contractors and service providers for maintenance, repairs, cleaning, security, pest control, fire protection and other facilities-related services.
  • Maintain proper records of maintenance schedules, inspections, service reports, certificates and contractor documentation.
  • Ensure facilities-related issues are followed up and resolved within appropriate timelines.
  • Monitor facilities expenditure and support cost-effective maintenance planning.
  • Coordinate office and warehouse improvement, relocation, renovation or space-utilisation projects when required.
  • Ensure workplace facilities remain safe, functional and suitable for employees and business operations.

5. Workplace Safety, Risk & Compliance

  • Support the implementation and enforcement of workplace safety requirements across logistics, warehouse, fleet and facilities operations.
  • Conduct or coordinate regular operational, safety and facilities inspections.
  • Identify operational hazards, compliance gaps and potential business risks and recommend appropriate corrective actions.
  • Ensure relevant licences, permits, inspections, certifications and statutory maintenance requirements are properly tracked and renewed.
  • Maintain appropriate records relating to incidents, inspections, corrective actions and compliance activities.
  • Support investigations into workplace incidents, property damage, vehicle incidents, lost items and other operational issues.
  • Work with management and relevant departments to strengthen risk controls and preventive measures.
  • Support the Company's ISO and other management-system requirements where applicable.

6. Performance Management & Continuous Improvement

  • Establish and monitor operational KPIs for logistics, warehouse, fleet and facilities functions.
  • Track performance against agreed targets and provide regular updates to management.
  • Analyse operational data to identify recurring issues, inefficiencies and improvement opportunities.
  • Implement practical process improvements to improve productivity, service levels, safety and cost efficiency.
  • Review existing SOPs and work processes regularly and recommend improvements.
  • Ensure corrective actions are properly assigned, followed up and closed.

7. Budget & Cost Management

  • Assist in preparing and monitoring budgets for logistics, fleet, warehouse and facilities operations.
  • Monitor operating expenditure and identify unnecessary or avoidable costs.
  • Review maintenance, repair, transport and service costs for reasonableness and cost-effectiveness.
  • Recommend cost-saving initiatives without compromising safety, quality or service standards.
  • Provide management with relevant operational and cost information for decision-making.

8. Reporting & Stakeholder Management

  • Prepare regular operational reports covering logistics, warehouse, fleet, facilities, safety, manpower, costs and outstanding issues.
  • Provide timely updates to management on significant operational risks, incidents and unresolved matters.
  • Work closely with Sales, Procurement, Finance, HR and other departments to resolve cross-functional issues.
  • Liaise professionally with customers, suppliers, contractors, government agencies and other external parties when required.
  • Ensure operational commitments are followed through and outstanding matters are properly tracked to closure.

Key Requirements

  • Diploma or Bachelor's degree in Logistics, Supply Chain Management, Operations Management, Business Administration, Engineering or a related discipline.
  • Minimum 3 years of relevant experience in logistics, warehouse, operations, facilities, fleet or supply chain management.
  • Candidates with substantial relevant operational experience may be considered in lieu of the stated academic qualification.
  • Prior experience supervising or managing operational teams.
  • Practical experience in logistics, warehouse, fleet or facilities operations.
  • Strong understanding of operational processes, SOP implementation and performance management.
  • Good problem-solving and analytical skills, with the ability to identify root causes and implement practical solutions.
  • Strong organisational and follow-up skills, with the ability to manage multiple operational matters simultaneously.
  • Good communication and stakeholder-management skills.
  • Proficient in Microsoft Office and comfortable working with operational reports, trackers and data.
  • Strong sense of responsibility, accountability and attention to detail.
  • Able to work independently while collaborating effectively with different departments.
  • Willingness to take a hands-on approach when operational situations require direct intervention.

  • Experience managing logistics, warehouse, fleet and facilities functions in an SME or multi-site environment.
  • Experience with ERP, warehouse management or logistics management systems.
  • Experience with ISO management systems, workplace safety or operational compliance.
  • Experience managing contractors, maintenance vendors and service providers.
  • Experience in process improvement, operational transformation or digitalisation projects.
  • Relevant experience in industrial, engineering, trading, distribution, manufacturing or other operational environments.
