Job Summary:

As a Legal Secretary, you will be providing key administrative support to 1-2 Partners and their teams. The candidate that will thrive in this role is someone who is independent, dynamic, and enjoys a fast-paced and detail-oriented environment while being able to pick things up quickly and maintain impeccable professionalism in their work.

Key Responsibilities

  • Provide secretarial support to 5-6 fee earners, including scheduling appointments, meetings, and screening all incoming and outgoing communications.
  • Oversee the production of legal documents, both internally and externally, ensuring consistency in formatting, numbering, and other details.
  • Assist lawyers with the billing process, ensuring timely submission of bills. This includes drafting pre-bills, editing narratives, preparing cover letters/emails, and finalising bills.
  • Prepare and submit expense claims for lawyers in line with firm policies, following up on necessary authorisations.
  • Maintain confidentiality and exercise discretion in handling sensitive information.

Requirements

  • Proven experience of minimally 5-10 years as a Legal Secretary in a reputable law firm is required, preferably with some exposure to an offshore set up.
  • Exemplary spoken and written communication skills in English are essential.
  • Capable of working both independently and collaboratively as a team player.
  • Proactive, driven, and demonstrates resilience and the ability to perform effectively under high-pressure situations.
  • Exceptional professional conduct and excellent cross-cultural communication skills while handling communications discreetly and maintaining confidentiality.
