Job Summary:

As a Legal Secretary in the Intellectual Property (IP) department, you will be providing key administrative support to a Partner and their team, dealing extensively with trademark fillings and checking formatting of required documents. The candidate that will thrive in this role is someone who is independent, dynamic, and enjoys a fast-paced and detail-oriented environment while being able to pick things up quickly and understand the nuances of patent/ trademark work.

Key Responsibilities:

  • Provide secretarial support to a Partner and their team in the IP practice, including scheduling appointments, meetings, and screening all incoming and outgoing communications.
  • Handle all filing and communication with the Intellectual Property Office of Singapore (IPOS), including opening and closing of files and assisting with amendments
  • Prepare, format, and organize trademark documentation to ensure compliance with patent and trademark filing requirements.
  • Coordinate travel arrangements and timelines, including flight bookings, accommodation and the associated claims.
  • Maintain client contact lists across the region through the client's database to drive international collaboration.
  • Prepare billing and invoicing, including tracking billable hours related to filings and IP services

Requirements:

  • Proven experience of 2-8 years as a Legal Secretary in a reputable law firm is required.
  • Proficiency in handling legal documentation, and familiarity with trademark/intellectual property legal processes is highly advantageous.
  • Organised, efficient and able to work independently in an fast-paced environment, with the resources to resolve issues as quickly as they arrive.
  • Exceptional professional conduct and excellent cross-cultural communication skills while handling communications discreetly and maintaining confidentiality.
