Job Description

We are seeking an experienced a Junior/Senior secretary with added knowledge of e-litigation systems and court filing procedures. The successful candidate will provide full administrative and secretarial support to allocated partners and fee earners and assist with legal secretarial and support team with ad hoc tasks as required.

Key Responsibilities

  • Prepare, format, and file court documents accurately through the e-Litigation portal in compliance with procedural requirements
  • Produce and type legal documents to a high standard of accuracy, adhering to the Firm's house style, templates, and precedents
  • Manage and maintain legal records, case files, and correspondence in both physical and digital formats, ensuring timely and accurate filing at all times
  • Assist fee earners in the preparation of hearing bundles, cause papers, and other legal documentation
  • Proofread and quality-check prepared materials for grammar, spelling, punctuation, and formatting prior to distribution or filing
  • Create and maintain organised office files, ensuring records are current, accurate, and easily retrievable
  • Input, retrieve, update, and delete information across computerised systems, including the billing system and document management system (DMS)
  • Record and enter time worked by fee earners into the relevant system in an accurate and timely manner
  • Assist fee earners in the preparation of client invoices, including drafting invoice narratives and accompanying covering letters
  • Upload invoices and office or disbursement expenses to the billing system to facilitate accounts processing
  • Maintain accurate and up-to-date client contact information in support of the Firm's business development initiatives
  • Coordinate travel arrangements, hearing dates, and appointments for fee earners
  • Provide comprehensive administrative support, including scheduling, billing coordination, and expense tracking
  • Deliver ad hoc secretarial and administrative assistance to fee earners and secretarial
  • At least two years of working experience in a similar role

Requirement:

  • At least two years of working experience in a similar role
  • Good command of English and proficient with MS Office applications
  • Organized, meticulous and willing to learn
  • Good working attitude and interpersonal skills
  • Candidate must possess at least a GCE N/O level

Candidates must be based in Singapore.

Overseas candidates will not be considered as we do not provide relocation support.
