Job Description
We are seeking a highly organized, proactive and detail-oriented Legal Secretary to join our Singapore office.
The ideal candidate will have at least 2 years of relevant experienceas a legal secretary. This person will be responsible for ensuring the efficient and smooth operation of our legal team.
Responsibilities
. Provide full spectrum secretarial andadministrative support to lawyers and partners, managing emails, calendars, meeting arrangements, and travel coordination.
. Prepare, format, and proof read legal documents (e.g. Letters of Engagement, agreements, and correspondence), ensuring accuracy and consistency with firm standards.
. Assist with client onboarding processes, including KYC and due diligence checks, ensuring proper documentation and record-keeping in line with regulatory requirements.
. Maintain and organise both physical and electronic filing systems, ensuring all documents are properly indexed and easily retrievable.
. Liaise professionally with clients and external parties, including scheduling meetings, coordinating communications and relayingmessages in a timely manner.
. Facilitate effective communication between internal teams and external stakeholders.
. Support billing processes, including time recording, preparation of invoices, and tracking of expenses and receipts.
. Handle confidential and sensitive informationwith discretion at all times.
. Provide general administrative support and undertake ad-hoc duties as assigned.
Requirements
. Diploma or equivalent qualification (Bachelor'sdegree or paralegal certification will be an advantage).
. At least 2 years of experience in a legal secretarial or administrative role, preferably within a law firm.
. Proficient in Microsoft Office applications (Word,Excel, PowerPoint, and Outlook) and familiar with legal document management systems.
. Basic understanding of legal terminology and document formatting.
. High level of attention to detail and accuracy.
. Strong organizational skills with the ability to multitask and prioritise effectively in a fast-paced environment.
. Strong interpersonal and communication skills, with the ability to interact professionally with clients and colleagues.
. Good command of written and spoken English.Proficiency in Mandarin would be an advantage to liaise with Chinese-speaking clients and the headquarter.
